Job Overview

The Billing Assistant plays a central role in the daily financial operations of S.W.A.T. Plumbing, LLC. This position owns the full billing cycle from issuing purchase orders to field technicians and obtaining home warranty authorizations, to weekly invoicing, collections, cash and check reconciliation, customer financing assistance, and monthly sales tax preparation. The ideal candidate is highly organized, financially detail-oriented, and comfortable managing multiple billing platforms and payer types simultaneously. This is a high-accountability role that directly supports the company cash flow and field operations.

Duties

Bill multiple home warranty companies on a weekly basis for completed plumbing service calls, ensuring all submissions are accurate and properly documented.
Obtain real-time job authorizations on behalf of field technicians by contacting home warranty companies directly to communicate scope of work, required parts, and associated costs.
Document all authorization numbers, approval details, and call notes in the service management system promptly.
Follow up on pending, denied, or disputed authorizations and escalate as needed to keep jobs moving.
Track claim statuses across all active warranty accounts and ensure timely resolution of any outstanding items.

Weekly Invoicing & Collections

Conduct a weekly review of all open and completed invoices to verify accuracy, completeness, and proper coding.
Actively pursue collection on all unpaid invoices by contacting customers, warranty companies, and other payers as appropriate.
Apply approved discounts and adjustments to reconcile billing discrepancies between invoiced amounts and payments received.
Maintain an organized aging report and escalate significantly overdue accounts to management.

Cash, Check & Receipt Management

Check in all cash and check payments collected by field technicians, verifying amounts against corresponding invoices.
Collect and reconcile receipts submitted by technicians, ensuring each transaction is properly recorded.
Maintain an accurate daily log of all cash and check receipts and prepare deposits as required.
Report any discrepancies between collected payments and documented invoices to management immediately.

Purchase Orders

Issue purchase orders to field technicians for parts, materials, and supplies needed on the job.
Verify that purchase order requests align with authorized job scopes and approved budgets before issuance.
Track open purchase orders through completion and match against invoices received from suppliers.
Maintain accurate PO records and assist with reconciling vendor invoices against issued orders.

Customer Financing Assistance

Assist customers in applying for financing options to cover plumbing services not covered by home warranties or insurance.
Guide customers through the financing application process, answering questions and ensuring a smooth experience.
Coordinate with financing partners and management to confirm approvals and apply funding to customer accounts.
Accurately document all financed transactions and ensure invoices are updated to reflect financing arrangements.

Monthly Sales Tax Preparation

Compile and organize monthly revenue data from completed service calls to support Texas sales tax filings.
Distinguish taxable versus non-taxable transactions in accordance with Texas Comptroller guidelines for plumbing labor and parts.
Prepare and submit monthly sales tax reports to the Texas Comptroller on time.
Maintain organized records of all taxable sales, exemption certificates, and supporting documentation for audit readiness.
Coordinate with management or the company CPA as needed to ensure accuracy and compliance.

Skills

High school diploma or equivalent; associate degree or some college preferred.
1+ years of experience in billing, medical/service billing, insurance claims, or a related administrative role.
Strong verbal communication skills — comfortable making and receiving a high volume of phone calls.
Proficient in Microsoft Office (Excel, Outlook); able to learn new software quickly.
Highly organized with strong attention to detail and the ability to manage multiple open claims simultaneously.
Self-motivated with the ability to work independently and meet deadlines.

Preferred

Prior experience working with home warranty companies (AHS, First American, Choice, Old Republic, etc.).
Background in plumbing, HVAC, or trades service billing.
Experience with field service management software (ServiceTitan, Housecall Pro, etc.).
Familiarity with Ramp, Monday.com, or similar operations platforms.

Pay: $20.00 - $23.00 per hour
