Full Job Description

HR Administrator

Job Type: Part-Time | Non-Exempt

Hourly Rate: $30–$35 per hour

Reports to: HR Manager

Work Location: In-person at both our Oakland and Sacramento, CA offices

Travel Requirement: Occasional overnight travel to Los Angeles may be required for HR or compliance-related support.

Position Summary

The HR Administrator plays a critical role in supporting daily Human Resources operations, ensuring regulatory compliance, and maintaining employee documentation across the organization. This position involves managing onboarding and offboarding processes, supporting payroll and benefits coordination, assisting with policy enforcement, and serving as the first point of contact for HR-related inquiries.

The HR Administrator will work in person at both our Oakland headquarters and Sacramento office as needed. Occasional overnight travel to Los Angeles may be required to support HR functions such as onboarding or compliance visits.

Responsibilities include:

Maintain confidential employee personnel files and HR records.
Coordinate employee onboarding, orientation, credential verification, and offboarding processes.
Track employee licenses, certifications, training requirements, and policy acknowledgments.
Assist with payroll processing by auditing timecards, tracking leave requests, and processing payroll changes.
Support benefits administration, employee leave programs, and COBRA documentation.
Post job openings, schedule interviews, conduct reference checks, and assist with recruiting efforts.
Prepare offer letters and coordinate pre-employment requirements.
Respond to employee questions regarding HR policies, benefits, payroll, and employment procedures.
Support employee relations by documenting concerns, maintaining disciplinary records, and assisting with investigations.
Generate reports related to compliance, onboarding, licensing, recruiting, and HR metrics.
Coordinate incoming and outgoing mail, document deliveries, and administrative support between company offices.
Partner with Operations, Finance, and leadership to support company-wide Human Resources initiatives.

Minimum Qualifications

Required

Associate's Degree in Human Resources, Business Administration, or a related field.
Minimum one (1) year of Human Resources experience, preferably within the security industry, public safety, or another compliance-driven environment.
Valid California Driver's License with a clean driving record.
Working knowledge of California labor laws and employment practices.
Experience with HRIS platforms, Paychex, applicant tracking systems, and timekeeping software.
Strong organizational skills with exceptional attention to detail.
Excellent written, verbal, and interpersonal communication skills.
Ability to maintain confidentiality and manage sensitive employee information.
Proficiency with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar).
Ability to work in person at both the Oakland and Sacramento offices.
Willingness to travel occasionally for HR and compliance support.

Preferred

Bachelor's Degree in Human Resources, Business Administration, or a related field.
PHR, SHRM-CP, or similar Human Resources certification.
Experience with BSIS licensing and compliance requirements.
Experience supporting payroll, benefits administration, employee relations, and recruiting.
