We are seeking a highly organized, proactive Personal / Administrative Assistant to work directly with the Managing Director of a growing property management firm. This is an entry-level role with growth potential for someone who is ambitious, dependable, and eager to learn how a successful property management operation runs behind the scenes.
In this role, you’ll help keep daily operations running smoothly while gaining exposure to property management, client relations, operational problem-solving, and business leadership. The right person will be someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in keeping things organized and moving forward.
This position offers the opportunity to be mentored and coached into excellence, developing both administrative and operational skills that can lead to expanded responsibilities over time. Approximately 95% of your time will be spent completing in-office duties with occasional out-of-office duties.
Skills:
Your day-to-day responsibilities will vary, but may include:
- Managing calendars, scheduling meetings, and coordinating appointments
- Communicating with property owners, vendors, and team members
- Assisting with problem-solving when operational issues arise
- Handling a wide range of administrative tasks and office coordination
- Creating and maintaining spreadsheets, reports, and internal tracking tools
- Supporting property management workflows and documentation
- Organizing emails, correspondence, and follow-ups
- Assisting with project coordination and task management
- Helping prioritize tasks and keep leadership organized and efficient
- Putting out small “fires” and helping keep operations running smoothly
- Running occasional errands or handling logistics as needed
- Maintaining and coordinating a changing schedule on short notice
- Be professional, clear, articulate, and accurate, both verbally and in writing
- Taking on a variety of tasks with superior time management skills
- Computer proficiency including web-based research, Microsoft Office, Google Suite, database software, and ability to learn new software systems
- Aptitude in problem-solving, following instructions, strong attention to detail
