Full Job Description

Position Overview:

We are seeking a highly organized and results-driven Accounting Associate to support the day-to-day operations of our Accounting department. This position will be instrumental in providing comprehensive support to the Accounting Manager. The ideal candidate will have a strong attention to detail, excellent communication skills, and a passion for ensuring smooth execution from start to finish.

Key Responsibilities:

Accounting/Bookkeeping:

Manage financial transactions including payments, deposits and wire transfers.
Record receivable and payable accounts in line with accounting principles.
Create detailed financial statements, balance sheets, and income statements.
Maintain regular communications with clients and vendors regarding upcoming or overdue invoices.
Reconcile bank statements and conduct regular audits to identify discrepancies and maintain accurate records.
Assist in the preparation and filing of taxes, ensuring compliance with regulations.
Leverage tools like QuickBooks and Microsoft Excel to manage financial records efficiently for reporting purposes.
Update ledgers to track cash flow and ensure accurate financial records.
Ensure compliance and monitor financial health by adhering to GAAP and address discrepancies promptly.
Manage Paychex account and report payroll.
Maintain company health insurance and dental insurance accounts.
Maintain and organize all documentation, including contracts, invoices, purchase orders, etc.
Ensure that all records are kept up to date and stored in an accessible format.
Provide detailed and timely reports on payment statuses and any other relevant updates.

Logistics Coordination:

Coordinate the logistics of materials, products, and equipment required for projects, ensuring timely delivery and availability.
Request bids, review and release carriers for international freight shipments (ocean & air) and track status through MONDAY software.
Work with vendors, contractors, and suppliers to negotiate rates, arrange shipping, storage, and inventory management for project materials.
Monitor and troubleshoot any logistics-related issues to minimize project delays.
Maintain and organize all documentation, including contracts, invoices, purchase orders, and meeting notes.
Ensure that all records are kept up to date and stored in an accessible format.
Provide detailed and timely reports on logistics updates.

Purchasing & Vendor Management:

Source and purchase materials and supplies for projects while ensuring cost-effectiveness and adherence to project specifications.
Build and maintain relationships with suppliers and vendors to negotiate favorable terms, track deliveries, and resolve any supply chain disruptions.
Process purchase orders and track inventory levels to avoid shortages or overstocking.

Qualifications:

High school diploma is required; a bachelor's degree in accounting or a related field is preferred.
Minimum 5 years of experience in bookkeeping, financial data management, or related fields.
This position will require selected candidate to submit to both a standard background check and a financial background check. Offer of employment will be contingent on the results of these checks.
Proficiency in QuickBooks, Excel, and other bookkeeping software.
Knowledge of accounting principles. Familiarity with GAAP and accounting standards.
Detail oriented with the ability to maintain accurate records and spot discrepancies in financial data.
Strong verbal and written communication to liaise with team members and stakeholders.
Capability to manage multiple tasks and meet deadlines effectively.
