Rising Stars Pediatric Dentistry & Orthodontics is looking for an enthusiastic, motivated, and highly organized Patient Care Coordinator who will also serve as our Orthodontic Treatment Coordinator during our orthodontic clinic days twice each month. As the first smile our patients see and one of the last before they leave, you'll play an essential role in creating an outstanding patient experience while helping families confidently begin their orthodontic journey.
What You'll Do
As our Patient Care Coordinator, you'll be the face of our practice and help create a welcoming, organized, and positive experience for every patient and family. You'll support the daily flow of the office while building strong relationships and ensuring every interaction reflects the quality of care we provide.
Twice each month, you'll step into the role of Orthodontic Treatment Coordinator, partnering with our orthodontist to educate families, present treatment plans, discuss financial options, and confidently guide patients through the treatment acceptance process.
This role is ideal for someone who enjoys connecting with people, is comfortable having financial conversations, and has the confidence to help families make informed decisions about their care.
Patient Care Coordinator Responsibilities
- Welcome every patient and family with warmth, enthusiasm, and professionalism.
- Create a positive first impression and ensure every family feels valued and cared for.
- Answer incoming phone calls and schedule appointments efficiently.
- Check patients in and out while providing an exceptional patient experience.
- Verify insurance benefits and maintain accurate patient information.
- Collect payments and confidently discuss account balances when needed.
- Maintain accurate records using our practice management software.
- Keep provider schedules full and help maximize daily productivity.
- Communicate effectively with doctors, assistants, and fellow team members.
- Address patient questions and concerns with compassion and professionalism.
- Help create a fun, energetic, and welcoming environment for children and families.
Orthodontic Treatment Coordinator Responsibilities (Twice Per Month)
- Welcome new orthodontic patients and families while creating an exciting consultation experience.
- Build trust and establish strong relationships with patients and parents.
- Present orthodontic treatment recommendations with confidence, enthusiasm, and professionalism.
- Educate families on treatment options, benefits, and expected outcomes.
- Clearly explain financial arrangements, insurance benefits, payment options, and financing opportunities.
- Feel comfortable discussing treatment costs and guiding families through financial decisions.
- Confidently ask families to move forward with treatment and help them take the next step toward achieving their smile goals.
- Increase treatment acceptance by building trust, answering questions, addressing concerns, and overcoming objections in a caring and professional way.
- Follow up with families considering treatment and maintain consistent communication.
- Coordinate treatment starts and ensure a seamless transition into care.
- Partner closely with the orthodontist and clinical team to support practice growth while delivering an exceptional patient experience.

Preferred Qualifications
- Dental front office experience preferred.
- Pediatric dental experience is a plus.
- Orthodontic treatment coordinating experience is highly preferred.
- Experience presenting treatment plans and discussing financial arrangements.
- Knowledge of dental insurance and patient financing.
- Experience using Open Dental or similar dental software.
- Background in hospitality, customer service, or sales is highly valued.
