Position Summary

Meel Corp is seeking a highly organized and detail-oriented Administrative Coordinator / Documentation Manager to oversee all operational documentation, inventory reporting, production records, shipping documentation, and compliance reporting within our frozen food manufacturing and cold storage facility.

This position serves as a critical operational link between Production, Warehouse, Shipping, Quality Assurance, Inventory Control, and the Miami Head Office. The role is responsible for ensuring that all production activities, inventory movements, outbound shipments, and food safety documentation are accurately completed, verified, entered into company systems, and maintained in an audit-ready condition.

The ideal candidate will possess strong manufacturing administration experience, inventory control knowledge, ERP/WMS system experience, and a proactive mindset focused on accountability, accuracy, and continuous improvement.

Key ResponsibilitiesProduction Documentation & Verification

Maintain accurate production records in real time
Verify all production paperwork is completed accurately and reflects actual raw material usage
Ensure finished goods created match production records and inventory transactions
Review daily production reports, downtime logs, yields, waste, and rework documentation
Conduct daily audits of production paperwork for accuracy and compliance
Verify lot codes, production dates, SKU numbers, and traceability records
Ensure all production documentation is scanned and digitally stored properly
Support implementation and maintenance of standardized documentation procedures

Inventory Control & Reconciliation

Maintain accurate inventory records across raw materials, packaging, and finished goods
Investigate and resolve inventory discrepancies quickly and accurately
Perform inventory reconciliations between physical inventory and ERP/WMS systems
Support daily cycle counts and physical inventories
Audit inventory transactions, transfers, adjustments, damages, and holds
Monitor freezer inventory accuracy and pallet tracking
Work closely with Warehouse Leads and Production Supervisors to resolve inventory issues
Identify recurring inventory problems and recommend corrective actions

Shipping, Receiving & Outbound Fulfillment Oversight

Ensure outbound orders are fulfilled accurately according to customer specifications
Verify correct picking, packing, pallet configuration, and load documentation
Prepare and verify Bills of Lading (BOLs), packing lists, shipping logs, and receiving records
Oversee scanning and system entry of all outbound shipments
Conduct spot checks and audits of truck loads prior to departure
Ensure shipping documentation matches customer orders and inventory records
Coordinate with Shipping & Receiving personnel to resolve discrepancies
Maintain temperature logs and transportation documentation

SQF / Food Safety Compliance

Support the Facility Manager in maintaining SQF Level 2 compliance
Maintain organized food safety and operational documentation files
Ensure traceability and lot tracking records remain audit-ready at all times
Support internal audits, customer audits, and regulatory inspections
Assist with corrective action reporting and compliance documentation
Verify HACCP, GMP, sanitation, allergen, and food safety forms are completed accurately
Help train employees on documentation compliance and recordkeeping procedures

Systems Management & Reporting

Serve as a communication link between the Oxford facility and Miami head office
Maintain digital production, inventory, and fulfillment records
Generate operational reports and KPI scorecards
Monitor system data for inconsistencies and coordinate corrective actions
Utilize Microsoft Excel for inventory tracking, reporting, compliance metrics, and operational analysis
Support ERP/WMS system accuracy and process improvements
Assist management with operational reporting and trend analysis

Qualifications

3+ years of experience in manufacturing administration, inventory control, food production, warehousing, or logistics
Experience working in food manufacturing or frozen food environments preferred
Experience with ERP systems, WMS systems, or inventory management software
Strong Microsoft Excel skills including Pivot Tables, VLOOKUPs, and reporting
Familiarity with SQF, HACCP, GMPs, and food safety documentation
Strong organizational and problem-solving skills
Excellent communication and follow-up abilities
Ability to work independently in a fast-paced manufacturing environment
Bilingual English/Spanish preferred

Preferred Education

Bachelor’s Degree or Technical Degree in:
