Office & Operations Manager (Direct Hire Opportunity)

Location: Stockton, CA (On-Site)
Schedule: Full-Time, Monday-Friday, 8:00 AM-5:00 PM
Salary: $65,000-$105,000 annually (DOE)

About the Role

We are seeking a highly organized and detail-oriented Office & Operations Manager to oversee the day-to-day administrative functions of a growing manufacturing and distribution business. This is a hands-on role responsible for customer service, order processing, accounting support, logistics coordination, purchasing, payroll administration, and general office operations.

The ideal candidate is proactive, dependable, and capable of managing multiple priorities while maintaining accuracy and professionalism.

Key Responsibilities

Customer Service & Order Management

Prepare and process customer quotes.
Enter customer purchase orders and maintain order records.
Respond to customer inquiries regarding order status, shipments, and product availability.
Coordinate incoming calls and customer communications.

Shipping, Freight & Logistics

Arrange inbound and outbound freight shipments.
Schedule truck deliveries and pickups.
Create bills of lading (BOLs) and shipping documentation.
Coordinate with warehouse personnel to ensure timely order fulfillment.

Accounts Receivable

Generate and distribute customer invoices.
Process payments including checks, deposits, and ACH transactions.
Monitor outstanding balances and assist with collections.
Maintain accurate payment records and account updates.

Purchasing & Accounts Payable

Create and manage purchase orders.
Receive and reconcile vendor invoices.
Process vendor payments and maintain AP records.
Coordinate material purchasing and inventory-related documentation.

Payroll & Office Administration

Process payroll and maintain payroll records.
Coordinate temporary staffing reporting and related documentation.
Manage office supplies and administrative resources.
Support day-to-day office operations and special projects as needed.

Qualifications

3+ years of experience in office management, business administration, accounting support, or a related role.
Strong knowledge of accounts payable, accounts receivable, and payroll processes.
Experience coordinating freight, shipping, or logistics activities preferred.
Proficiency with Microsoft Office and business management/accounting software.
Excellent organizational and time-management skills.
Strong communication and customer service abilities.
Ability to manage multiple responsibilities with minimal supervision.
High level of professionalism, discretion, and attention to detail.
