About Sierra Roof
Sierra is an established Southern California roofing and exterior remodeling company serving homeowners throughout the region. We are looking for a highly organized, dependable, and energetic Bilingual Field Production Coordinator / Project Supervisor to help manage residential roofing, window, paint, and exterior improvement projects.
This is not strictly an office position. The person hired will work from our Anaheim office and visit active job sites to coordinate crews, meet inspectors, communicate with homeowners, document progress, resolve production issues, collect payments, and help bring every project to a successful close.
The ideal candidate takes ownership, communicates professionally, handles multiple active projects without losing details, and understands the importance of keeping customers informed throughout construction.
Primary ResponsibilitiesProject and Production Coordination
- Assist project managers with the planning, scheduling, execution, and closeout of assigned projects.
- Coordinate roofing, window, paint, and other exterior remodeling projects.
- Maintain an accurate production schedule for all active and upcoming projects.
- Schedule subcontractors, crews, inspections, material deliveries, and final job walks.
- Confirm project scope, start dates, materials, special instructions, and homeowner expectations before work begins.
- Manage multiple projects at different stages of production.
- Monitor project timelines and immediately report delays, job-site issues, or scheduling conflicts.
- Help prepare project estimates, proposals, scopes of work, and quotes.
- Prepare and process change orders for additional work.
- Obtain customer signatures before unauthorized or additional work begins.
- Coordinate project submittals and material procurement.
- Maintain RFI logs, submittal logs, schedules, and other project records.
Field Supervision
- Visit active job sites and monitor workmanship, progress, cleanliness, safety, and project conditions.
- Communicate daily with roofing crews, subcontractors, suppliers, inspectors, and project managers.
- Obtain progress updates from subcontractors and crews.
- Confirm that crews have the correct project information, materials, and instructions.
- Meet with city inspectors and assist with correcting inspection-related items.
- Verify that job sites follow company safety requirements and production procedures.
- Document project progress with photographs, notes, and field reports.
- Help resolve field problems before they become customer complaints or project delays.
- Ensure company yard signs and required project identification are properly displayed.
- Schedule and complete final job walks and project closeouts.
Homeowner Communication and Customer Service
- Serve as a primary point of contact for homeowners during production.
- Provide homeowners with professional daily project updates.
- Send progress photographs and explain the current stage of the project.
- Communicate schedule changes, inspections, material deliveries, and next steps.
- Answer customer questions professionally and escalate concerns when necessary.
- Build positive customer relationships through reliable communication and follow-through.
- Confirm customer satisfaction at project completion.
- Request Google reviews and customer referrals after successful project closeout.
Permits, Payments and Project Closeout
- Pull permits and track permit and inspection status.
- Collect deposits, progress payments, change-order payments, and final balances.
- Prepare invoices for review by project managers.
- Verify supplier and subcontractor invoices and enter them into the CRM.
- Assist with financing closeout, completion certificates, and final financing documents.
- Confirm that final inspections, payments, photographs, warranties, and required documents are complete.
- Upload contracts, change orders, invoices, inspection records, photographs, and closeout documents.
- Ensure every completed project is properly closed in the CRM and production tracker.
Administrative and Documentation Responsibilities
- Maintain complete, organized, and accurate electronic and physical project files.
- Scan and upload new contracts and production documents.
- Perform data entry and project maintenance in the CRM and company applications.
- Update production trackers for every project in progress.
- Organize billing information using spreadsheets and project data.
- Process subcontractor agreements, changes, and compliance documentation.
- Review, edit, proofread, and finalize proposals and technical reports.
- Maintain accurate project reports, schedules, meeting notes, and correspondence.
- Support project management and other administrative departments when needed.
- Maintain Sierra Roof’s professional brand standards in all written and verbal communication.
- Perform other related duties as assigned.
Required Qualifications
- Fluent in both English and Spanish.
- Excellent customer service and relationship-management skills.
- Strong verbal and written communication skills.
- Ability to communicate professionally with homeowners, crews, subcontractors, suppliers, and city inspectors.
- Excellent organization, time-management, and follow-through.
- Strong attention to detail and documentation.
- Ability to prioritize and manage multiple active projects.
- Ability to work independently with minimal supervision.
- Strong computer and data-entry skills.
- Proficiency with Microsoft Office, Google Workspace, Google Sheets, email, and mobile applications.
- Comfortable learning and consistently updating CRM and project-management systems.
- Able to work in both an office environment and at active construction sites.
- Valid driver’s license, reliable transportation, and ability to travel to job sites throughout Southern California.
- Available Monday through Friday from 7:30 a.m. to 5:00 p.m., with occasional overtime.
Preferred Qualifications
- Previous roofing, solar, construction, or exterior remodeling experience.
- Previous experience as a project coordinator, production coordinator, field supervisor, construction administrator, or assistant project manager.
- Experience coordinating subcontractors and construction schedules.
- Experience pulling permits and working with city building departments.
- Experience preparing change orders, collecting construction payments, and closing financed projects.
- Knowledge of roofing materials, installation procedures, inspections, and construction terminology.
- Experience using a construction CRM, CompanyCam, or similar project-management software.
