Position Summary:

Reporting to the Associate Director of Events, the Event Operations Manager serves as the operational backbone of the events team, partnering closely with Event Project Leads to support the successful execution of donor cultivation and stewardship events, medical alumni programs, dedications, and other high-profile engagements. You'll help deliver exceptional experiences that reflect Stanford's commitment to excellence and donor service.

In this role, you will

:

Provide operational leadership and on-site support for a diverse portfolio of Stanford Medicine events.

Support Event Project Leads in delivering exceptional donor and alumni experiences by coordinating event logistics, vendors, registration, and campus partnerships.

Manage logistical timelines, event materials, and volunteer coordination.

Resolve operational challenges while ensuring seamless event execution.

Manage the countless behind-the-scenes details that make each event successful, including signage, name badge and place card creation, parking, transportation, and inventory.

Occasionally, travel locally to support Stanford events and meetings on the SF Peninsula and the Stanford University campus.

Periodically work during early mornings, evenings, and weekends for on-site and off-site event execution.

Preferred Qualifications:

Strong project management and organizational skills, with the ability to manage multiple priorities and adapt to changing event needs.

Experience using event registration platforms, project management tools, or similar technology to support event planning and execution.

Excellent interpersonal, written, and verbal communication skills, with the ability to collaborate effectively across diverse teams.

The ability to work independently while also contributing as a collaborative and dependable member of a high-performing team.

Physical Requirements:

Frequently stand, walk, sit, and perform desk-based computer work.

Ability to stand and walk for extended periods while supporting indoor and outdoor events.

Occasionally bend, kneel, squat, twist, reach, and lift, carry, push, or pull items weighing up to 40 pounds, including event signage and equipment.

Valid California Class C driver's license with the ability to drive during daytime and evening hours.

Ability to operate a golf cart during event setup and execution.

Core Duties :

Design, plan, implement, and coordinate customized events.
Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
Serve as a member of an events team, and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics and facilities.
Consult with stakeholders to determine objectives and requirements.
Inspect event facilities to ensure they conform to the event needs.
Manage accounting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and/or account transfers.
May serve as project leader on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
Utilize and/or maintain complex databases. May use specialized event planning software.
May inspect event facilities for maintenance, janitorial and fire safety issues.

Minimum Education and Experience:

Associate degree and three years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities :

Demonstrated success planning events.
Ability to work both independently and as part of a team.
Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills.
Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

Certificates and Licenses Required :

Must possess and maintain a valid California non-commercial Class C Driver’s License.
