Medical Office Manager

PM KIDZ — Hollywood, Maryland

Job Summary

PM KIDZ is a rapidly growing pediatric healthcare practice seeking an experienced, organized, and operations-minded Medical Office Manager to lead daily office operations at our Hollywood, Maryland location.

This role is ideal for someone who understands that a successful medical office is not built only on clinical care — it is built on strong workflows, clear communication, reliable scheduling, disciplined billing processes, and a positive patient and staff experience.

As PM KIDZ continues to grow, we are looking for a leader who can help bring structure, accountability, and consistency to the practice. The Medical Office Manager will oversee day-to-day operations, support front desk and clinical support teams, improve patient flow, coordinate staff schedules, billing and revenue cycle management processes, and help create systems that allow the practice to operate efficiently as it scales.

This is a key leadership role for someone who enjoys solving operational problems, supporting teams, and helping a growing pediatric practice deliver high-quality care families can trust.

Key ResponsibilitiesDaily Operations & Patient Flow

Oversee daily practice operations to ensure smooth patient flow, timely check-in and check-out, efficient rooming, and a positive experience for patients, families, providers, and staff.

Monitor office workflow throughout the day and proactively address bottlenecks related to scheduling, phone calls, forms, referrals, billing questions, and patient communication.

Ensure the office is prepared each day with appropriate staffing, supplies, provider schedules, and operational readiness.

Staff Leadership & Scheduling

Manage staff schedules to ensure adequate coverage for front desk, medical assistant, billing, and administrative workflows.

Supervise, support, and hold team members accountable to office expectations, policies, and performance standards.

Assist with onboarding, training, coaching, and development of staff members.

Promote a professional, team-oriented work environment focused on communication, accountability, and service.

Growth & Workflow Improvement

Help PM KIDZ strengthen systems as the practice grows, including scheduling workflows, patient communication, documentation processes, billing handoffs, and office policies.

Identify recurring operational issues and work with leadership to create practical solutions.

Support the development and implementation of standard operating procedures that improve consistency, efficiency, and patient satisfaction.

Help transition the practice from people-dependent workflows to reliable systems that can support growth.

Patient Access & Communication

Support strong patient access by monitoring phone workflows, appointment availability, online scheduling, missed-call follow-up, and patient communication processes.

Help ensure families receive timely responses regarding appointments, referrals, forms, medication refills, billing questions, and other office needs.

Maintain a high standard of customer service and professionalism in all patient and family interactions.

Billing, Insurance & Revenue Cycle Support

Supervise and support billing-related workflows, including insurance verification, claim readiness, payment posting coordination, claim submission timelines, and denial follow-up.

Work with billing staff and leadership to reduce preventable billing errors, improve documentation handoffs, and support timely revenue cycle performance.

Ensure front-end processes such as eligibility verification, demographic accuracy, authorization awareness, and insurance updates are performed consistently.

Compliance & Documentation

Maintain accurate and confidential patient records in accordance with HIPAA and practice policies.

Ensure office operations comply with healthcare regulations, payer requirements, and internal policies.

Support consistent use of the electronic health record and related practice management systems.

Requirements

Qualified candidates should have:

Proven experience as an Office Manager, Practice Manager, or similar leadership role in a medical or healthcare setting.
Strong understanding of medical office operations, patient flow, scheduling, and staff supervision.
Experience managing front desk, clinical support, billing, or administrative teams.
Knowledge of HIPAA, healthcare compliance, medical terminology, and medical office procedures.
Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
Excellent verbal and written communication skills.
Ability to remain calm, professional, and solution-focused under pressure.
Strong attention to detail and ability to handle sensitive patient information with discretion.
Experience working with medical billing workflows, insurance verification, claim submission, or denial resolution.
Proficiency with electronic health records, practice management systems, and office technology.

Preferred Qualifications

Preferred candidates will have:

Pediatric medical office experience.
Experience with eClinicalWorks or similar EHR systems.
Experience with revenue cycle management, billing coordination, eligibility verification, or payer communication.
Experience improving workflows, creating office policies, or implementing standard operating procedures.
Experience managing a growing healthcare practice or multi-provider office.
Comfort working with digital scheduling, patient communication platforms, and operational dashboards.
