Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster a productive, welcoming environment where everyone can thrive. This paid position offers the opportunity to develop your skills in office management, customer service, and administrative support while contributing to our company’s success.

Duties

Manage administrative responsibilities, including assisting our accounting department with cash counting and bill reconciliation.
Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office applications (Word, Excel)
Organize and maintain office files, records, and correspondence with excellent attention to detail and proofreading skills
Coordinate calendar management and schedule meetings for team members or executives efficiently
Handle clerical tasks such as typing documents, preparing reports, and managing mail distribution
Assist with minor HR responsibilities such as Onboarding and forwarding resumes
Assist with office management duties including supply inventory, equipment maintenance, and general administrative support

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and familiarity with data entry and spreadsheets
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Demonstrated experience in office management, clerical work, or administrative roles with a focus on efficiency and accuracy
Exceptional communication skills, including phone etiquette and client communication across diverse audiences
Technical proficiency in office equipment such as multi-line phones, printers, and fax machines
Proven ability to handle multiple responsibilities simultaneously while maintaining high productivity levels
Experience with QuickBooks or similar accounting software is desirable but not required
