Full Job Description

Job Overview

We are seeking an organized, dependable, and detail-oriented Accounting Assistant to support our accounting and administrative operations. This position will work closely with the accounting team to help process transactions, maintain accurate records, reconcile accounts, and ensure financial information is complete and properly documented.

The ideal candidate is highly organized, comfortable working with numbers and computer systems, and willing to take ownership of routine accounting responsibilities. This is an excellent opportunity for someone who wants to build their accounting skills and grow within the company.

Responsibilities

· Process accounts payable invoices and ensure proper coding, approval, and supporting documentation.

· Enter vendor invoices and assist with preparing payments.

· Maintain vendor records, including W-9s and other required documentation.

· Assist with accounts receivable, customer payments, and account maintenance.

· Record and apply customer payments accurately.

· Assist with bank and credit card reconciliations.

· Enter and maintain accounting transactions in the company's accounting system.

· Review transactions and supporting documentation for completeness and accuracy.

· Maintain organized electronic and physical accounting records.

· Assist with monthly account reconciliations and month-end closing activities.

· Research basic discrepancies involving invoices, payments, vendor accounts, and customer accounts.

· Communicate with vendors and customers regarding invoices, payments, and account questions.

· Assist with preparing reports and schedules for the accounting team and management.

· Assist with data entry and other administrative functions within the accounting department.

· Follow established accounting procedures and internal controls.

· Identify opportunities to make routine accounting processes more organized and efficient.

· Perform other accounting and administrative duties as assigned.

· Assist with answering phone calls as needed.

Qualifications

· Associate degree in Accounting, Business, Finance, or a related field preferred.

· Previous bookkeeping, accounting, accounts payable, or accounts receivable experience.

· Basic understanding of accounting and bookkeeping principles.

· Comfortable working with numbers and financial information.

· Experience with Microsoft Excel, Word, and Outlook.

· Experience with accounting or ERP software.

· Strong attention to detail and commitment to accuracy.

· Excellent organizational and time-management skills.

· Ability to prioritize multiple responsibilities and meet deadlines.

· Strong written and verbal communication skills.

· Dependable, professional, and willing to learn.

· Maintain complete and well-organized accounting records.

· Follow established accounting procedures consistently.

· Identify discrepancies and ask questions when something does not look correct.

· Become increasingly independent in handling routine accounting responsibilities.

· Help keep the accounting department organized and operating efficiently.

· Continue developing accounting knowledge and take on additional responsibilities over time.
