Overview
We are seeking a dynamic and personable Front Desk Associate to be the welcoming face of our organization. This vital role combines exceptional customer service with efficient office management, ensuring smooth daily operations. As the first point of contact, you will create a positive impression for visitors, clients, and team members alike. Your energetic approach and organizational skills will help foster a professional and friendly environment, supporting the overall success of our team.

Responsibilities

Greet visitors, clients, and vendors warmly, providing excellent customer service at all times
Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
Handle front desk duties including answering inquiries, scheduling appointments, and providing information
Maintain organized filing systems, data entry records, and ensure accurate document proofreading
Support office management tasks such as calendar management, appointment setting, and supply inventory checks
Utilize computer skills to operate Microsoft Office Suite, Google Workspace, and other office software efficiently
Perform clerical duties including photocopying, faxing, mailing, and maintaining office supplies

Experience

Prior office experience or administrative support roles preferred; experience in medical or dental reception is a plus
Strong computer literacy with proficiency in Microsoft Office applications and Google Workspace tools
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Bilingual abilities are highly desirable to serve diverse client needs
Demonstrated customer service skills with a professional demeanor and strong phone etiquette
Experience with data entry, filing systems, bookkeeping (such as QuickBooks), and calendar management is advantageous
Personal assistant or medical receptionist experience can be beneficial for understanding complex scheduling and client interactions
