Job Requirements

Salary Range: $42,120 to $53,703 yearly

Day Shift available

The Administrative and Billing Assistant provides comprehensive administrative, guest service, and billing support to the Finance Department. This role serves as a key point of contact for internal and external guests, coordinates departmental communications and onboarding activities, maintains records and office operations, and assists with cash handling and collections processes. The position also supports group billing functions by preparing invoices, coordinating payments, resolving billing issues, assisting with collections, and providing timely responses to guest inquiries while ensuring accuracy, professionalism, and exceptional customer service.

What does an Administrative and Billing Assistant do?

Office Administration

Greets Finance Department internal and external guests in a professional, friendly and helpful manner. Ensures the guest is properly taken care of and is very satisfied with the department’s service.
Provides general support to the Finance Department and Enterprise Controller & Financial Compliance Officer.
Assists Enterprise Controller & Financial Compliance Officer with various tasks including meeting requests, routing paperwork, phone messages, filing and preparing memos.
Coordinates departmental communications.
Coordinates the onboarding process.
Establishes and maintains files of appropriate reports, records or other information relevant to the operation of the department. This includes maintaining department keys.
Prepare all incoming cash receipts for deposit and coordinates cash disbursements.
Assists Collections function by logging all returned checks, quarterly statements and certified letters.
Reconciles and replenishes other departments’ petty cash accounts.
Coordinates the maintenance and repair of department copiers and other equipment.
Monitors and maintains department supplies.
Performs various routine clerical functions.
Coordinates all Mailroom activities; including mailboxes, sorting daily mail and postage as needed.

Group Billing

Assists the Group Billing Coordinator with the preparation of prompt, accurate and professional invoices.
Works with sales’ and operations’ personnel to resolve billing issues and make the necessary adjustments.
Gathers and provides the necessary supporting documentation (i.e. hotel folios and receipts) required by the group.
Works with sales representatives to coordinate guest deposits and final payments ensuring the method of payment (i.e. credit card) is current and valid. Coordinates payment execution with the front desk personnel.
Assists in the collections of past due accounts. Works with guest and operations team to resolve issues.
Provides prompt and courteous service when answering guest emails and phone calls; forwarding questions to the appropriate departments for further servicing, while following departmental procedure

Work Experience

To be successful as an Administrative and Billing Assistant, you'll need:

Minimum of five years administrative/billing experience or a combination of experience and applicable secondary education or training.
Possess strong professional judgment in handling information with discretion and confidence.
Must possess above average verbal and written communications skills.
Must have strong guest service skills and the ability to build comradery in a team environment.
Must have excellent organizational skills.
Able to handle multiple responsibilities and willingness to take on new tasks.
Has knowledge of various office machines.
Strong knowledge/ability in Microsoft Office (Excel, Word), LMS and Delphi applications and other related software programs preferred.Ability to stand/walk for long periods of time and lift up to 21 - 30 pounds.
