We are seeking an exceptional Office Manager who will serve as the welcoming face of our school while ensuring that daily operations run smoothly and efficiently.

Position Summary
The Office Manager serves as the communication and operations hub of the school. This individual will provide outstanding customer service to prospective and current families, manage administrative operations, maintain confidential student records, coordinate school events and fundraising efforts, and support the school owners, teachers, and staff.
The successful candidate will be an excellent communicator, a proactive problem solver, and a positive team player who demonstrates professionalism, discretion, and integrity in all interactions.

Primary Responsibilities
- Answer phones and respond to emails promptly and professionally
- Serve as the first point of contact for prospective and current families
- Provide information regarding school programs, enrollment, and events
- Schedule appointments for school owners/directors
- Coordinate and schedule parent observations and tours
- Welcome visitors, students, and families to the school
Office Administration
- Maintain organized and accurate school records
- Manage student files, enrollment documents, and immunization records
- Ensure compliance with FERPA and all confidentiality requirements
- Create and distribute carpool placards and related materials
- Assist with morning arrival and afternoon dismissal procedures
- Coordinate fire drill schedules with school leadership
- Maintain office systems and administrative calendars
Financial & Operational Support
- Maintain purchasing records and receipts
- Order classroom, office, and operational supplies
- Collect and record payments
Staff Support
- Coordinate substitute coverage when teachers or assistants are absent
- Support teachers with administrative needs as appropriate
- Assist in maintaining a professional, organized work environment
Marketing & Community Engagement
- Assist with social media and school marketing efforts
- Help promote school events and programs
- Coordinate fundraising initiatives and community events
- Support family engagement activities
Campus Organization
- Maintain an orderly, welcoming office environment
- Help ensure that the office and teachers' lounge remain clean, organized, and clutter-free
- Perform light organizational tasks such as straightening, dusting, and maintaining shared spaces
Confidentiality & Professional Conduct
Because this position involves access to sensitive student, family, and personnel information, confidentiality is essential.
The Office Manager must:
- Strictly adhere to FERPA requirements
- Protect confidential information at all times
- Demonstrate professionalism in all communications
- Refrain from engaging in gossip or discussions that undermine students, families, or staff
Maintaining confidentiality and fostering a positive professional culture are conditions of employment. Violations of confidentiality or participation in workplace gossip may result in disciplinary action, up to and including termination.
