Primary Responsibilities: As a Tech-Savvy Sales Assistant, you will serve as a critical operational link between all teams. This position focuses on supporting the sales lifecycle from quoting to fulfillment, ensuring accuracy, efficiency, and excellent client experience.

You will work closely with vCIOs, account managers, and leadership to generate and manage quotes and proposals, track and process orders, liaise with vendors for cost-effective pricing, and help with scheduling and delivery coordination. You’ll also support our in-development ecommerce operations and play a role in maintaining our CRM and client inventory records.

Sales & Quoting Support 

Collaborate with vCIOs and Account Managers to generate accurate client quotes and proposals (hardware, software, licensing, etc.) 
Manage quote follow-up and track proposal status with prospects and clients 
Coordinate with vendors for pricing, promotions, and savings opportunities 
Attend client meetings when needed to take notes and create action items for follow-up 
Follow up calls to inbound leads received from website, scheduling appointments when necessary
Make outbound calls to follow up on marketing campaigns or new business opportunities

Order Processing & Procurement 

Place and track product orders with vendors and distributors 
Communicate updates to internal team/clients on order and delivery timelines 
Assist service delivery team with scheduling installations or drop-offs

Client & Internal Coordination 

Schedule and help vCIOs prepare for Quarterly Business Reviews (QBRs) 
Conduct routine client check-ins as needed 
Assist the marketing team with identifying cross-sell opportunities and maintaining the CRM system

Ecommerce Support 

Assist with order entry and tracking through our ecommerce platform (currently under development) 
Help improve product listing accuracy and user experience

Reporting & Asset Management 

Support vCIOs in generating client reports, equipment inventory lists, and warranty renewal tracking 
Maintain accurate internal records and documentation

Administrative Duties 

General administrative support as assigned 
Additional duties as business needs evolve

Soft Skills:

Strong written and excellent verbal communication skills
Pleasant and professional demeanor in all client and internal communications
Intellectually resourceful with sound judgment and effective decision-making abilities
Independent worker and able to work effectively on daily tasks without direct supervision
Strong organization skills and ability to operate efficiently throughout daily tasks
Work well with clients at all levels, from executive to IT to end user
Operates with client satisfaction in mind

Education and Experience:

Business-related BS degree preferred (Business Management, IT, Marketing, Communications)
Relevant administrative or client support experience in a technical environment 
Familiarity with quoting tools, CRMs, and vendor portals is a plus
