Full Job Description

Job Summary
Mangiarelli Rehabilitation is seeking a front desk administrative assistant for a family-owned physical therapy clinic in Howland. This is a full-time, full benefits position.

The administrative assistant serves as the first point of contact for patients. They provide outstanding customer service, maintain office organization, and ensure clinic policies are followed. The administrative assistant should be able to multi-task and be detail-oriented.

Additional responsibilities include processing intake paperwork, ensuring all documents are accurate and complete, and collecting co-payments. You are also responsible for keeping medical records updated with patient info, outside records, and medication lists using practice management software, ensuring insurance referrals are available, and requesting authorization when necessary.

Key Responsibilities

Patient Scheduling & Coordination

Answer multi-line phones, field inquiries, and direct messages to the appropriate staff.
Schedule initial evaluations, follow-ups, and recurring therapy sessions.
Contact patients regarding no-shows, cancellations, and appointment reminders.
Verify patient insurance eligibility, benefits, coverage, and authorizations prior to their visits

Insurance & Billing

· Request and track necessary pre-authorizations and physician referrals.

· Collect co-payments, deductibles, and process cash or credit card payments at the time of service.

· Insurance/cash sheet reconciliation and deposits

Front Office Operations & EMR Management

Greet patients, ensure a welcoming environment, and provide intake paperwork for new clients.
Maintain and update electronic medical records
(EMR) with patient data, outside records, and medication lists.
Scan medical documents, fax paperwork, and maintain organized digital filing systems.
Monitor and order clinic supplies to keep the front office fully stocked.
Technical Skills: Basic computer literacy and familiarity with EMR software and medical scheduling platforms.
