Job Summary
We are seeking a dedicated and detail-oriented Medical Office Front Desk Registration Specialist to serve as the first point of contact for patients and visitors in a busy healthcare environment. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a comprehensive understanding of medical administrative procedures. This role involves managing patient check-in and check-out processes, verifying insurance information, and ensuring smooth clinic operations while maintaining confidentiality and compliance with healthcare regulations. The successful candidate will contribute to delivering exceptional patient service and support the overall efficiency of the medical practice.

Duties

Greet patients warmly and professionally, ensuring a positive first impression of the clinic.
Verify patient insurance coverage, perform insurance eligibility checks, and update patient records accurately.
Schedule appointments efficiently using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth.
Collect and review patient documentation, including medical history forms, consent forms, and prior authorization requests.
Handle multi-line phone systems with professionalism, providing clear communication and appointment confirmations.
Maintain accurate medical records by filing documents correctly within electronic health information systems.
Assist with insurance verification processes, billing inquiries, and payment collection while adhering to HIPAA regulations.
Support clinic operations by managing patient intake procedures, updating demographic information, and coordinating care plans as needed.
Utilize computer skills including Microsoft Office Suite for documentation review, data entry, and report generation.
Ensure compliance with healthcare standards such as HIPAA and CPT coding requirements during all administrative activities.

Qualifications

Prior experience working in a medical office setting or healthcare environment is highly preferred.
Strong knowledge of EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms.
Familiarity with medical billing, coding (ICD-10/ICD-9/CPT), insurance verification, and health information management practices.
Excellent customer service skills with the ability to communicate effectively with diverse patient populations; bilingual abilities are a plus.
Proficient computer skills including typing (10 key typing), Microsoft Office applications, and office management software like Eaglesoft or Dentrix.
Knowledge of medical terminology relevant to clinical documentation review and care plans.
Demonstrated clerical experience involving filing, data entry, multi-line phone handling, and appointment scheduling.
Ability to maintain confidentiality in accordance with HIPAA standards while managing sensitive health information.
