Position Overview
KONASTYLE is seeking a dependable, organized, and customer-focused Operations Associate to join our team. This position plays an important role in the daily operation of our ocean adventure business and helps ensure that our guests, crew, vessels, and office operations are prepared for a successful day.
The Operations Associate will work closely with the Operations Manager, office team, captains, and crew to coordinate daily activities, assist guests, maintain accurate records, support reservations and check-in, monitor inventory, and help keep our operations running efficiently.
The ideal candidate is someone who is highly organized, communicates well, takes initiative, and can remain calm and professional in a fast-paced environment. This position requires someone who is comfortable moving between office responsibilities, guest interaction, and hands-on operational tasks.
Key Responsibilities Daily Operations
- Assist with the daily opening and closing of the KONASTYLE office and operations areas.
- Help prepare for daily tours and ensure required supplies, equipment, paperwork, and guest materials are ready.
- Coordinate with captains and crew regarding daily schedules, guest counts, special requests, and operational needs.
- Assist with maintaining accurate daily manifests and operational records.
- Monitor daily schedules and communicate changes or important information to the appropriate team members.
- Assist the Operations Manager with day-to-day operational projects and assignments.
- Help identify operational issues and communicate them promptly to management.
Guest Services
- Provide friendly, professional service to guests before, during, and after their experience.
- Assist with guest check-in and ensure required waivers and paperwork are completed.
- Answer guest questions regarding tours, schedules, policies, and procedures.
- Assist guests with special requests or concerns and escalate issues to management when appropriate.
- Help create a welcoming and professional guest experience from arrival through departure.
- Handle guest concerns professionally and work toward appropriate solutions.
Reservations & Office Support
- Assist with reservations, cancellations, changes, and guest inquiries.
- Maintain accurate reservation and guest information.
- Assist with third-party booking agents and affiliate reservations as needed.
- Monitor upcoming reservations for special requests, private charters, large groups, and other operational considerations.
- Assist with phone calls, emails, and other guest or partner communications.
- Maintain organized digital and physical records.
Inventory & Supplies
- Assist with monitoring office, vessel, food, beverage, and operational inventory.
- Conduct inventory counts and communicate shortages or purchasing needs to management.
- Help ensure inventory is properly stored, organized, and accounted for.
- Assist with receiving and putting away deliveries.
- Help maintain established par levels and inventory procedures.
Financial & Administrative Support
- Assist with accurate processing and documentation of guest purchases and operational charges.
- Help ensure private charter food, beverage, and other requested items are properly documented and charged.
- Assist with maintaining accurate records and reporting discrepancies to management.
- Follow company procedures for cashless transactions, POS systems, and other administrative processes.
Safety & Compliance
- Follow all company safety policies, procedures, and operational standards.
- Help ensure guests understand and follow applicable safety requirements.
- Immediately report safety concerns, injuries, incidents, equipment issues, or other operational concerns to management.
- Maintain confidentiality regarding guest, employee, and company information.
- Support a culture of safety, professionalism, and accountability.
Team Support
- Work cooperatively with office staff, captains, crew, and management.
- Assist other departments when operational needs require additional support.
- Maintain a professional attitude during busy periods, schedule changes, weather-related disruptions, and other unexpected situations.
- Take initiative to complete tasks without requiring constant supervision.
- Perform other duties and responsibilities as assigned by management.
Qualifications
Required:
- Previous experience in hospitality, tourism, customer service, operations, or a related field.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Ability to multitask in a fast-paced environment.
- Professional and positive attitude.
- Ability to use computers, email, POS systems, and basic office software.
- Ability to handle confidential information professionally.
- Reliable transportation and dependable attendance.
Preferred:
- Previous experience in a tour, hospitality, marine, or recreational business.
- Experience with reservation or booking systems.
- Experience with POS and inventory systems.
- Experience working with booking agents, hotels, travel partners, or affiliates.
- Knowledge of Big Island tourism and local attractions.
Physical Requirements
This position may involve both office and hands-on operational responsibilities. The employee may be required to:
- Stand and walk for extended periods.
- Lift and carry supplies and equipment.
- Move between the office, dock, and vessel.
- Work outdoors in varying weather conditions.
- Assist with loading, unloading, and organizing supplies.
- Safely navigate vessel and dock areas.
- Perform repetitive tasks and remain active throughout the workday.
Work Environment
The Operations Associate works in a dynamic tourism environment where schedules and operational conditions can change quickly. The position may involve early mornings, weekends, holidays, and variable hours based on tour schedules and business needs.
Successful candidates must be comfortable working in a team-oriented environment where guest service, safety, punctuality, and attention to detail are essential.
