HOA Support Specialist
Integrated Mountain Group (IMG) is seeking a highly organized, dependable, and professional HOA Support Specialist to join our team in Glenwood Springs, Colorado.
This position is ideal for someone who enjoys working with people, solving problems, keeping things organized, and providing excellent support to homeowners, HOA boards, and our HOA management team. The right candidate will be detail-oriented, comfortable working with financial information, and able to manage multiple priorities while maintaining a high level of professionalism.
Position Overview
The HOA Support Specialist provides administrative and account support for our HOA management operations. This position works closely with HOA managers, homeowners, board members, vendors, and internal staff to ensure that HOA accounts and day-to-day administrative responsibilities are handled accurately and efficiently.
The ideal candidate will have experience in HOA management, property management, real estate, or a similar field.
Key Responsibilities
- Provide administrative and account support to HOA managers and the management team
- Respond professionally and promptly to homeowner and HOA board inquiries
- Assist with homeowner account questions, balances, payments, and account documentation
- Maintain accurate homeowner and association records
- Assist with accounts receivable and accounts payable functions
- Review invoices, statements, and supporting documentation for accuracy
- Assist with vendor communication and invoice processing
- Prepare correspondence, notices, reports, and other HOA documents
- Assist with HOA meeting preparation, including agendas, meeting materials, and follow-up items
- Maintain organized electronic and physical files
- Assist with compliance tracking and required HOA documentation
- Enter and update information accurately in HOA management software
- Communicate with vendors, homeowners, board members, and other third parties
- Follow up on outstanding items and ensure tasks are completed timely
- Assist HOA managers with special projects and administrative needs
- Maintain confidentiality of homeowner, association and company information
- Provide general office support as needed
Qualifications
Required:
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Excellent written and verbal communication skills
- Professional and friendly customer-service approach
- Ability to manage multiple priorities and deadlines
- Strong computer skills, including Microsoft Office/Outlook
- Ability to learn and effectively use HOA management and accounting software
- Ability to work independently while also functioning as part of a team
- Strong problem-solving and follow-through skills
Preferred:
- HOA or property management experience
- Knowledge of HOA governing documents, covenants, rules, and regulations
- Experience working with HOA boards

Job Type: Full-time
Location: Glenwood Springs, Colorado
Schedule: Monday–Friday, during normal business hours, some board meetings may be in the evenings and will flex your hours for them.
