Full Job Description

Job Title: Operations Administrative Assistant Location: Winchester, KY 40391 (in person) Job Type: Full-time Pay: $42,000.00 - $52,000.00 per year

About FORMAFLO FORMAFLO is a specialty industrial resin flooring contractor serving major food and protein processors across the country. We install fast, hold high standards, and keep plants running. We are growing and adding an Operations Administrative Assistant to keep our back office and field paperwork organized.

Position Summary This is a behind-the-scenes administrative and operations support role reporting to the Operations Manager. You keep the company's files, records, schedules, and paperwork organized and current so the field operation runs smoothly. This is an office and administrative role, not a field or supervisory role. You will not lead crews or run job sites.

Responsibilities

Keep operational files, records, and documents organized and easy to retrieve (the core of the job)
Maintain the master schedule and calendar as set by the Operations Manager and enter changes as directed
Book and track crew lodging and travel
Maintain safety software, DOT and safety paperwork, and employee records
Support new-employee onboarding (paperwork, records, and setup)
Assemble and organize job folders and prepare them with the Operations Manager for handoff to accounting
Execute purchase orders as requested
Provide background support to the Operations Manager and Controller on billing and job-cost tracking
Prepare job recaps and status summaries for the owner
Help organize information from Sales for Operations, and handle occasional client questions as needed

Required Qualifications

Highly organized and detail-oriented; document and file organization is the core of this role
Proficient in Microsoft Word and Excel, email, and calendar management, and strong with digital file management
Comfortable using AI tools such as Claude to work efficiently
Clear, professional written and verbal communication
Dependable and discreet with sensitive employee and safety information
Able to work on-site in Winchester, KY, Monday through Friday

Preferred Qualifications

Bilingual Spanish and English strongly preferred; helps with onboarding and supporting our Spanish-primary field staff
Prior administrative, office coordinator, or executive assistant experience
Experience in construction, contracting, or industrial services
Familiarity with safety, compliance, or DOT paperwork

Compensation and Benefits

Salary $42,000 to $52,000 per year
Health, dental, and vision insurance
Paid time off
Schedule: Monday to Friday, 9:00 AM to 4:00 PM
