Full Job Description

Company: OMG! Optical Marketing group

Job Title: Project Manager

Responsibilities

Manage all current projects, ensuring timeline commitments, budgets and profitability goals are met
Client & Vendor interaction + sales development
Visiting Clients (U.S. + Canada)
Sourcing of elements and make sure purchasing is done within budget and on time
Management of key vendors
Visiting key vendors
Subcontractor management
Collecting payments when due
Just in time purchasing
Shipping of orders + coordination of drop shipments
Design and implementation of written procedures including time studies for all common work functions; i.e. order processing, shipping, client agreements, receiving funds etc.
Holding vendors and team members accountable for delivering in a timely + complete manner
Identifying additional personnel (subcontractors + employees) needs and assisting w/ hiring
Assisting with Contentlinq (sister company-saas software business) needs when they arise
Attending 1-4 key trade shows/meetings a year
Approve and enter vendor invoices in Quickbooks, ensure payables are kept current - Any other needs that may arise
Follow & Update Procedure Manual
Create invoices, Estimates + Purchase Orders
Design coordination & timeframes
Update To-Dos in CRM / PM Software
Track and record shipping details, send to customer
When opening a project in Basecamp; assign tasks + due dates -Update Contact Info list for each customer in BaseCamp + Quickbooks & Copper -Track CEO’s activities and insure commitments to clients are followed through -Coordinate activities/timelines with Managers + Designers
Keep project management software current with activities, schedules, etc. Sourcing of elements and management of key vendors
Subcontractor oversight
Create and manage client/ vendor punch lists when necessary and see through to completion up to clients satisfaction

Other Responsibilities

Visit optometric practices / other relevant retailers a minimum of ½ day/month to broaden understanding of traffic flow, design needs, new concepts, etc.
Providing detailed and accurate accounting of time
Attending key conferences 2-4x / year
Keeping up to date on cultural and technological developments to insure fresh, relevant design
Meeting deadlines
Creative, organized thinking
Excellent team player + collaborator
Using Basecamp (or other software if chosen by company) to start projects, receive direction; communicate progress, and schedule/maintain To-Dos
Using QuickBooks to view and create invoices, estimates + purchase orders
Client and internal communications
Occasionally picking up jobs/products from local vendors
Any other design or production related duties requested by management
Creating time studies on common, repetitive tasks to help guide staffing needs
Track CEO and Design Directors schedule and assist as needed.

Requirements

2+ years of commercial project management
Bachelor degree preferred but not necessary
Highly proficient in excel, word and google suite
Autocad is a plus
Must possess excellent verbal, written and presentation skills
A proven track record of successfully exceeding expectations
Be a self starter
Ability to work at OMG office and in the field
Personal transportation and valid drivers license
Must read and understand blueprints / drawings
Must have minimum 2 years of experience manufacturing or production management
Excellent verbal and written communication skills

Schedule

M-F standard business hours (8 hours/day), in Solana Beach is required.
Some weekends and evenings may be required.
