Full Job Description

Modern Functional Health is seeking an experienced, highly organized, and proactive Operations Manager to oversee the day-to-day operations of our growing functional medicine, wellness, and aesthetics practice.

This is a hands-on leadership position for someone who thrives in a growing environment, enjoys creating structure and improving processes, and understands that an exceptional patient experience starts with strong operations behind the scenes.

The Operations Manager will work closely with ownership and our clinical team to ensure the practice runs efficiently, the team is supported, and patients receive a consistent, elevated level of care from their first interaction with MFH through ongoing treatment.

Key Responsibilities

Practice Operations

* Oversee daily clinic operations and ensure smooth workflow throughout the practice

* Manage scheduling, patient flow, communication systems, and administrative preocesses

* Identify operational challenges and implement practical solutions

* Develop, implement, and maintain SOPs, policies, and internal workflows

* Ensure the clinic is organized, appropriately stocked, and prepared for daily operations

* Coordinate vendors, supplies, facility needs, and other operational requirements

* Assist with implementation of and optimization of practice technology, EMR, patient portal, and communication systems

Team Leadership

* Support, manage, and hold team members accountable to established expectations and standards

* Assist with recruiting, interviewing, hiring, onboarding, and training new team members

* Coordinate staff schedules and coverage

* Facilitate clear communication between providers, administrative staff, and leadership

* Help create a positive, professional, collaborative workplace culture

* Lead by example and step in where needed to support the team

Patient Experience

* Ensure every patient interaction reflects the Moderm Functional Health standard of care

* Oversee front-office and patient communication processes, including calls, texts, forms, confirmations, and follow-up

* Address patient concerns professionally and promptly

* Ensure paperwork, intake forms, consent forms, and other required documentation are completed.

Business & Growth

* Work with ownership to support practice growth and operational goals

* Monitor key performance indicators and provide regular operational updates

* Help improve scheduling efficiency, patient retention, rebooking, and overall practice performance.

Qualifications

* Previous experience in medical practice, med spa, wellness, aesthetics, or a related environment preferred

* Previous leadership or management experience

* Strong organizational and problem-solving skills

* Excellent written and verbal communication

* Comfortable managing multiple priorities in a growing practice

* Strong attention to detail and ability to follow through

* Experience with EMR-practice-managment platforms and patient communication systems preferred

*Professional, dependable, adaptable, and solutions-oriented.

Pay: $62,540.68 - $72,000.00 per year
