Position Summary
We are seeking an experienced Full Charge Bookkeeper to oversee the day-to-day financial operations of our firm. This is a key position responsible for managing multiple QuickBooks Online entities, maintaining our attorney trust account (IOLTA), reconciling accounts, coordinating with our outside accountant, and ensuring accurate financial records across the firm.
The ideal candidate is highly organized, detail-oriented, and comfortable working independently while collaborating closely with firm leadership.
Responsibilities
- Maintain financial records for three QuickBooks Online entities
- Perform monthly bank and credit card reconciliations
- Manage the firm’s IOLTA trust account, including monthly three-way reconciliations
- Record settlement deposits and prepare settlement disbursements
- Maintain client trust ledgers and ensure compliance with California State Bar trust accounting requirements
- Process attorney fee distributions, client payments, lien payments, and case costs
- Coordinate with the firm’s outside accountant regarding tax matters and year-end reporting
- Prepare and maintain records necessary for annual 1099 reporting
- Monitor recurring expenses, insurance premiums, rent payments, and firm operating expenses
- Maintain vendor records and financial documentation
- Assist with payroll-related changes through Paychex as needed
- Maintain strict confidentiality regarding all firm financial information
Qualifications
Required:
- 5+ years of full-charge bookkeeping experience
- Advanced proficiency in QuickBooks Online (required)
- Experience reconciling multiple bank and credit card accounts
- Strong organizational and analytical skills
- Excellent attention to detail and accuracy
- Ability to manage multiple priorities independently
- Professional communication skills and discretion when handling confidential financial information
Strongly Preferred:
- Experience managing attorney trust (IOLTA) accounts
- Experience working in a law firm
- Experience with contingency-fee law firms
- Familiarity with Paychex payroll platform
