As our operations continue to grow, we are seeking a highly organized and detail-oriented Fulfillment Coordinator to support order processing, production coordination, inventory management, shipping, and customer fulfillment activities.
Position Overview
The Fulfillment Coordinator plays a key role in coordinating orders from initial processing through production, inventory preparation, and final shipment.
This position works closely with production, purchasing, inventory, quality, shipping, and administrative teams to ensure customer orders are processed accurately, materials are available, production requirements are communicated, and completed orders are shipped according to schedule.
The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced manufacturing environment.
Key ResponsibilitiesOrder & Fulfillment Coordination
- Coordinate customer orders from order entry through completion and shipment.
- Review orders for accuracy, quantities, product specifications, delivery requirements, and shipping information.
- Maintain accurate order status information in company systems.
- Monitor order progress and follow up on outstanding items or potential delays.
- Coordinate fulfillment priorities with production and operations teams.
- Communicate order requirements and changes to appropriate departments.
- Help ensure customer orders are completed according to established schedules and requirements.
- Identify potential fulfillment issues and communicate them to management promptly.
- Maintain organized records of orders, fulfillment activities, and shipment information.
Production Coordination
- Work closely with production personnel to monitor the status of customer orders.
- Coordinate production requirements based on order priorities and delivery schedules.
- Track work-in-process and communicate updates to internal teams.
- Follow up on production schedules and outstanding work orders.
- Help identify material shortages, production delays, or scheduling conflicts.
- Coordinate with purchasing and inventory personnel when additional materials are required.
- Assist with prioritizing urgent or time-sensitive orders.
- Support production planning and workflow improvement initiatives.
Inventory & Materials Support
- Monitor inventory levels for materials, components, packaging supplies, and finished products.
- Assist with inventory counts, stock checks, and inventory reconciliation.
- Coordinate material availability with production and fulfillment requirements.
- Track material movement and product status within company systems.
- Communicate shortages or discrepancies to purchasing and operations teams.
- Assist with organizing finished goods and materials for fulfillment.
- Help maintain accurate inventory records and documentation.
Shipping & Delivery Coordination
- Coordinate shipment preparation with warehouse and shipping personnel.
- Verify product quantities, packaging, labels, addresses, and shipping documentation.
- Prepare or assist with packing lists, shipping labels, and related documentation.
- Coordinate shipments with carriers and logistics providers.
- Track outgoing shipments and monitor delivery status.
- Communicate shipment information and potential delays to internal teams.
- Investigate shipping discrepancies and assist with resolving delivery issues.
- Ensure completed orders are properly staged and ready for pickup or shipment.
Administrative & Customer Support
- Maintain accurate records in ERP, order management, inventory, and shipping systems.
- Prepare reports, spreadsheets, order summaries, and fulfillment updates.
- Respond to internal inquiries regarding order status, production progress, inventory, and shipments.
- Assist customer service and sales teams with fulfillment-related information.
- Communicate professionally with vendors, carriers, customers, and internal departments as required.
- Maintain organized electronic and physical documentation.
- Support process improvement projects designed to improve order accuracy and fulfillment efficiency.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree in Business, Supply Chain, Logistics, Operations, or a related field is a plus.
- Previous experience in fulfillment, order coordination, manufacturing, logistics, inventory, purchasing, shipping, or operations is preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple orders, deadlines, and priorities simultaneously.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Experience with ERP, inventory management, order management, or manufacturing systems is a plus.
- Strong problem-solving and follow-up skills.
- Ability to work independently while collaborating effectively with multiple departments.
- Reliable, proactive, and willing to learn new systems and procedures.

Work Environment
The Fulfillment Coordinator works primarily in a professional manufacturing and office environment with regular interaction with production, inventory, purchasing, quality, shipping, and administrative teams.
Daily activities may include reviewing customer orders, updating systems, monitoring production progress, checking inventory, coordinating shipments, preparing documentation, and following up on fulfillment requirements.
The position requires frequent computer use as well as regular communication with manufacturing and warehouse personnel. The successful candidate must be comfortable working in a deadline-driven environment while maintaining accuracy and organization.
