Position: Production Coordinator
FLSA Status: Non-Exempt
Reports to: Operations Director
POSITION Description: The Production Coordinator is responsible for coordinating the daily production workflow at Options Ink, LifeSkills Connection, Inc.'s full-service design and print business in Carroll, Iowa. Working from orders received, costed, and approved by the Operations Director, the Production Coordinator manages jobs from the point they enter production through fulfillment — including graphic design, large- and small-format printing, and promotional products — and supports package drop-off services, ensuring orders are completed accurately, on time, and to quality standards. The Production Coordinator serves as a key point of coordination among the Operations Director, design and production staff, and vendors.
RESPONSIBILITIES:
Production Planning & Scheduling
- Coordinate and schedule production jobs — including graphic design, large- and small-format printing, and promotional products — from the point they enter production through completion
- Maintain the production calendar and prioritize jobs based on due dates, capacity, and material availability
- Monitor job progress and adjust schedules to resolve bottlenecks and meet delivery commitments
- Keep the Operations Director informed of production timelines, capacity, and any issues affecting delivery
Order & Job Management
- Review production work orders received from the Operations Director for completeness and accuracy, including specifications, quantities, artwork, and due dates
- Enter and track jobs in the order and production management system
- Coordinate proof preparation and internal review with design staff, routing customer sign-off through the Operations Director
- Maintain accurate job records, files, and documentation
Materials & Vendor Coordination
- Order and track materials, print stock, and promotional product inventory needed for production
- Coordinate with vendors and suppliers on outsourced services, promotional product sourcing, and delivery timelines
- Monitor inventory levels and reorder supplies to avoid production delays
Quality Control & Fulfillment
- Inspect finished products for quality, accuracy, and adherence to specifications
- Ensure completed jobs are finished on schedule and hand off to the Shipping and Receiving Clerk for packaging, shipping, and customer pickup
- Address and resolve production errors, reprints, and quality issues promptly
Front Counter Support
- Provide backup assistance with front counter and package drop-off services as needed, supporting the Shipping and Receiving Clerk
- Refer pricing, quoting, and new order requests to the Operations Director
Administrative Support
- Maintain organized production and order records in accordance with company policies
- Assist with reporting on production output, turnaround times, and job status
- Provide other administrative support as necessary

SKILLS AND QUALIFICATIONS:
- Strong organizational and time-management skills with the ability to manage multiple jobs and deadlines
- Attention to detail and a commitment to quality
- Ability to coordinate effectively across the Operations Director, design staff, production, and vendors
- Strong communication and interpersonal skills
- Proficiency with order/production management software and Microsoft Office
- Familiarity with print production, promotional products, or graphic design workflows preferred

- Ability to work in a fast-paced production environment

EDUCATION AND EXPERIENCE REQUIREMENTS:
- High school diploma or equivalent required; associate's degree a plus
- Previous production coordination, scheduling, or print/promotional products experience preferred
- Experience with order or production management systems
- Proficient with Microsoft Office, email, and general office technology
