Our campus is located at 1601 Maple Street, Carrollton, GA 30118.

Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary

This position is responsible for the accounts payable function for the UWG Foundation and the Athletic Foundation. Accounts payables processes include, but are not limited to, processing all payment and reimbursement requests submitted to Foundations verifying the appropriateness, funds usage, and approval authority; verifies forms and substantiation documentation for completeness and compliance with IRS regulations and Foundation policies and procedures; processes departmental account applications for creation of new Foundation accounts as well as inter-fund transfers; acts as liaison to university business, budget and other administrative staff who manage respective divisional and/or departmental Foundation accounts; responsible for vendor management and relations; and other projects assigned. Donors, external organizations, and Foundation management and governing boards rely on this position to ensure financial reports are accurate, timely and recorded in accordance with Generally Accepted Accounting Principles (GAAP), IRS regulations, and Foundation policies. The position helps to create process improvements and promotes new tools and techniques to further the division's ability to produce reporting that supports complete, accurate and timely information for the Foundations and institutional leaders.

Responsibilities

Processes payment and reimbursement requests including, but not limited to, verifying project (fund) designation for appropriateness, funds usage, and approval authority; verifies forms and substantiation documentation for completeness and compliance with IRS regulations and Foundation policies and procedures; and processes other paperwork as needed.

Responsible for vendor management and relations. This includes, but is not limited to, processing new and updated vendor profile forms, electronic payment paperwork, resolving payment or reimbursement discrepancies, and issuing calendar yearend returns and reports related to 1099 income and fringe benefits paid from the Foundations.

Acts as liaison to university business, budget and other administrative staff (campus partners) who manage respective divisional and/or departmental Foundation accounts; assists these contacts with project reporting, account reconciliations, or other account activity questions. This position also develops and conducts accounting system, Financial Edge, report training for these contacts.

Processes departmental account applications for creation of new Foundation accounts as well as inter-fund transfers; reviews and confirms proper authorization and complies with Foundation policy and donor designation

Required Qualifications

Required Education

High school diploma

Required Experience

4 or more years of general office work experience.

Key Qualifications: Working knowledge of all Microsoft Office applications with strong skills in Word and Excel; Extensive data entry experience and the ability to organize data in a consistent and logical method; Ability to execute complex clerical assignments to completion, recognizing obvious clerical errors and omissions; Possess excellent verbal and written communication skills; Have knowledge of FASB's not-for-profit accounting principles and concepts. Be able to meet frequent deadlines, work under stressful conditions at times, and work effectively in a service-oriented environment.

Experience with financial and accounting systems; experience with Financial Edge or other Blackbaud products extremely desirable.

Proposed Salary

$18.62 - $22.16 hourly. Paid on a bi-weekly basis.
