Location

Our campus is located at 1601 Maple Street, Carrollton, GA 30118.

Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary

The Accounts Receivable Representative provides operational support for student accounts and receivable functions within the Office of Student Accounts & Billing Services. This position is responsible for processing and reconciling payments, managing scholarship-related transactions, coordinating departmental and auxiliary receivables, preparing financial reports, and delivering exceptional customer service to students, families, faculty, staff, and external partners. The role serves as a key resource for account inquiries and contributes to the accuracy, integrity, and efficiency of university revenue and billing operations.

Responsibilities

1 -
Serve as a primary resource for students, families, faculty, staff, and external partners regarding student account questions, billing, tuition, fees, payment options, deadlines, refunds, and university policies. Research and resolve account inquiries while delivering exceptional customer service and support. Maintain confidentiality of student records and ensure compliance with FERPA and institutional policies.

Process and monitor accounts receivable transactions to ensure accurate and timely recording of financial activity. Coordinate the review, tracking, and reporting of Dine West catering invoices and other assigned receivables. Research, reconcile, and resolve account discrepancies and outstanding balances. Prepare documentation for journal entries and support financial record maintenance in accordance with university procedures.

Process private scholarship payments and ensure accurate application to student accounts. Prepare and submit scholarship invoices and supporting documentation to the UWG Foundation. Support University Payment Window operations, including payment processing, departmental deposits, and change requests. Perform cashiering and reconciliation activities in accordance with university cash-handling policies and provide backup coverage as needed.

Generate and maintain recurring and ad hoc reports related to receivables, scholarships, payments, and other departmental activities. Maintain tracking tools, spreadsheets, and reconciliations to support operational effectiveness. Assist with audits, special projects, process improvements, and departmental initiatives. Identify opportunities to enhance efficiency, accuracy, and the overall student customer experience.

Required Qualifications

Educational Requirements
High School Diploma or GED.

Required Experience
Two years of experience in accounts receivable, billing, cashiering, customer account services, student financial services, or other business-related function in any regulated environment allowing transferrable skills.

Preferred Qualifications

Preferred Educational Qualifications
Bachelor's Degree from an accredited institution in Accounting, Finance, Business Administration, or related field.

Preferred Experience
Experience working in higher education student accounts, bursar, cashiering, accounts receivable, financial aid, or student financial services operations. Knowledge of FERPA regulations. Experience with financial reporting, reconciliations, and payment processing. Experience using an ERP or student information systems.

Proposed Salary

$15.74 - $18.83 hourly. Paid on a bi-weekly basis.

Physical Requirements Office Environment - Work normally performed in a typical interior work environment.

KNOWLEDGE
Principles of accounts receivable, billing, payment processing, and cash management. Customer service best practices. FERPA and confidentiality requirements. Financial recordkeeping and reconciliation procedures.

SKILLS
Strong analytical and problem-solving skills. Advanced customer service and relationship management skills. Effective written and verbal communication. Proficiency with Microsoft Excel, including formulas, pivot tables, and data analysis tools.
