Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional support to our leadership. This role is vital in ensuring smooth daily operations, managing complex schedules, and facilitating effective communication across departments. The ideal candidate will demonstrate proactive problem-solving, excellent organizational skills, and a positive attitude that energizes the workplace. Responsibilities

Manage and coordinate complex calendars, appointments, and meetings for executive leadership, ensuring optimal time management.
Prepare, proofread, and distribute correspondence, reports, and presentations with attention to detail.
Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately.
Organize travel arrangements, including booking flights, accommodations, and preparing itineraries.
Maintain meticulous filing systems—both physical and digital—and perform data entry tasks accurately using tools like Microsoft Office and Google Workspace.
Support office management duties such as overseeing front desk operations, managing supplies, and ensuring a welcoming environment for visitors.
Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices.
Provide personal assistant support to executives as needed, including calendar management and task prioritization.

Skills

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
Exceptional phone etiquette skills; experience with multi-line phone systems is preferred.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Knowledge of office procedures such as filing, proofreading, and document formatting to ensure accuracy.
Customer service experience to handle inquiries professionally and support internal teams effectively.
Experience in specialized roles such as dental or medical receptionist is advantageous but not required.
Familiarity with bookkeeping practices including invoicing and expense tracking using QuickBooks or similar platforms.
