As a Wedding & Event Coordinator / Planner, you’ll play a key role in helping our clients celebrate their special occasions in style. From the first consultation to the final toast, you’ll be the driving force behind creating seamless, beautifully designed events that reflect Asali’s elevated aesthetic and commitment to excellence. This is a full-time position that requires a flexible schedule, including availability for evenings and weekends during events.
- Serve as the primary point of contact for wedding and event clients throughout the planning process.
- Conduct consultations to understand each client’s vision, style, budget, and goals.
- Develop detailed event timelines, floor plans, design concepts, and production schedules.
- Guide clients through planning decisions, offering expert recommendations and creative solutions.
- Maintain consistent communication with clients, ensuring timely follow-ups and exceptional service.
- Create cohesive event design concepts, including color palettes, floral inspiration, linens, décor, lighting, and tabletop styling.
- Prepare design boards, mood boards, and presentation materials to bring ideas to life.
- Source décor, rental items, florals, and specialty vendors to match each client’s vision.
- Stay up-to-date with wedding and event design trends while maintaining Asali’s signature style.
- Coordinate with venues, florists, caterers, photographers, entertainment, and other vendors.
- Manage vendor communications, contracts, schedules, and event logistics.
- Confirm timelines, deliveries, and setup schedules prior to each event.
- Assist with budgeting and tracking event expenses.
- Oversee event setup, styling, vendor arrivals, ceremony coordination, and event flow.
- Manage event timelines to ensure everything runs smoothly and on schedule.
- Troubleshoot issues professionally and calmly under pressure.
- Supervise setup and breakdown crews as needed, ensuring every detail reflects Asali’s commitment to quality.
- Maintain organized client files, contracts, invoices, and planning documents.
- Utilize project management software and calendars to track deadlines and appointments.
- Prepare proposals, estimates, invoices, and event recaps.
- Contribute to social media content, styled shoots, and marketing initiatives when appropriate.
- At least 1 year of experience in wedding planning, event planning, hospitality, or luxury customer service.
- Exceptional organizational and time-management skills.
- Strong design sense with an eye for color, composition, and detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple events and deadlines simultaneously.
- Professional, polished, and client-focused demeanor.
- Strong problem-solving abilities and confidence in decision-making under pressure.
- Proficiency with Microsoft Office, Google Workspace, and event planning software is preferred.
- Flexible schedule with availability for evenings and weekends during events.
- Ability to stand and walk for extended periods during events.
- Ability to lift and carry décor, supplies, and event materials up to 40 pounds.
- Comfortable working indoors and outdoors in varying weather conditions.
