Job Summary

We are seeking a dynamic and highly organized Scheduling Coordinator to join our team! In this vital role, you will manage appointment scheduling, coordinate calendars, and ensure smooth communication between patients, staff, and doctors. Your proactive approach and exceptional organizational skills will help optimize daily operations, enhance client satisfaction, and support overall office efficiency. This paid position offers an exciting opportunity to contribute to a fast-paced environment where your attention to detail and technical proficiency will shine.

Responsibilities

Manage and maintain appointment schedules using productivity software to include insurance verification, review and comprehension.
Answer multi-line phone systems promptly with professional phone etiquette, providing excellent customer support.
Handle front desk duties including greeting visitors, managing incoming calls, answering questions and directing inquiries efficiently.
Support office management tasks such as filing, document proofreading, and maintaining organized records.
Assist with client communication through email correspondence, appointment confirmations, and follow-up support.
Coordinate with referral offices on scheduling, referral forms, follow ups, and documentation
Miscellaneous support duties of stocking, operatory turn over, winter side walk maintenance,

Requirements

Proven experience in effective office duties or roles with strong clerical skills.
Excellent computer literacy with the ability to perform data entry accurately and efficiently.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Exceptional phone communication skills coupled with a professional demeanor and phone etiquette.
Bilingual abilities are preferred to serve diverse client needs effectively.
Experience with scheduling or bookkeeping is a plus; familiarity with medical or dental receptionist duties is advantageous.
Prior experience in office experience or as a personal assistant enhances your suitability for this role.
