Office Manager & Housing Operations Coordinator

Engage Young Adult Transitions helps young adults build greater connection, independence, and health as they navigate the transition into adulthood. We are looking for an organized, resourceful, and service-oriented Office Manager & Housing Operations Coordinator to help keep our organization running smoothly behind the scenes.
This role is ideal for someone who thrives on creating order, solving problems, caring for people, and taking ownership. You will serve as a key operational partner to our leadership and program teams while overseeing the day-to-day administrative needs of our office, housing units, and vehicles.
The Mission of This Role
Keep Engage’s day-to-day logistical operations running smoothly and consistently through reliable systems, proactive problem-solving, and high-quality customer service to young adults, parents, staff, and local organizations.
Your work directly supports our ability to provide a safe, welcoming, well-maintained environment where young adults can grow in connection, independence, and health.
Key Responsibilities:
- Conduct and document weekly inspections of all housing units and program vehicles.
- Coordinate and follow through on housing and vehicle maintenance requests.
- Respond to all maintenance requests within 24 hours, including initiating the appropriate next steps.
- Ensure maintenance requests are completed within 7 days whenever reasonably possible.
- Coordinate with vendors, contractors, landlords, and service providers as needed.
- Identify potential maintenance or safety issues proactively before they become larger problems.
- Ensure housing units are clean, organized, safe, and 100% tour-ready for marketing and admissions tours.
- Maintain accurate records of inspections, repairs, maintenance requests, and completed work.
- Help ensure vehicles are safe, clean, reliable, and properly maintained.
Vehicle Operations
- Track routine preventive vehicle maintenance, including oil changes and other manufacturer-recommended services.
- Schedule maintenance and repairs before they become urgent.
- Maintain accurate vehicle records and documentation.
- Coordinate inspections, registrations, repairs, and other vehicle-related logistics as assigned.
Office Administration
- Keep Engage’s day-to-day administrative operations organized and running efficiently.
- Maintain reliable systems for tracking tasks, maintenance, supplies, inspections, and other operational needs.
- Attend assigned meetings, take clear notes, and distribute action items to the appropriate team members.
- Support communication and coordination between the administrative, clinical, program, admissions, and executive teams.
- Complete stipend distribution in accordance with clinical and program directives.
- Monitor office and program supplies and coordinate purchasing as needed.
- Respond to internal and external requests promptly and professionally.
Communication & Customer Service
- Respond to Slack messages during working hours within 30 minutes whenever possible.
- Respond to emails by the end of each business day.
- Provide professional, warm, and solution-oriented communication to parents, young adults, staff, vendors, and community partners.
- Help create an experience where every stakeholder feels heard, respected, and deeply cared for.
