Payroll Specialist

Full-Time | Iowa City, Iowa Corridor

Position Summary

The Payroll Specialist is responsible for the accurate and timely processing of multi-FEIN weekly and bi-weekly payroll processing while ensuring compliance with all applicable federal, state, and local regulations. This position serves as a trusted resource for employees and leaders, maintaining strict confidentiality and delivering exceptional customer service. The role will be on-site, Monday through Friday from 8:00AM to 5:00PM.

Essential Responsibilities

Act as the main point of contact for all timekeeping and payroll related activities
Ensures timeliness of weekly/bi-weekly timecard approvals for payroll processing
Process multi-company and/or multi-state payroll accurately and on schedule
Maintain payroll records, employee earnings, deductions, garnishments, and tax information
Audit timesheets, payroll reports, and employee data to ensure accuracy
Administer new hire, status change, and termination payroll processes
Ensure compliance with wage and hour laws, payroll tax requirements, and company policies
Coordinate with the HR Manager of any payroll-related benefit deductions and/or reconciliation activities
Prepare and distribute payroll reports and analytics as requested
Respond to employee payroll inquiries in a professional and timely manner
Assist with year-end payroll activities, including W-2 processing and audits
Partner with the HR, Accounting, and leadership teams to ensure payroll accuracy
Maintain confidentiality of employee and company information at all times
Support process improvement initiatives and identify opportunities to increase efficiency

Qualifications

Associate's or Bachelor's degree in Accounting, Business, Human Resources, or related field preferred
Minimum of 3 years of payroll processing experience required
Advanced computer skills including but not limited to data entry, data processing, communication tools and payroll/HRIS software(s)
Ability to explain systematic items/transactions such as base pay, taxes and overtime calculations is required
Strong understanding of payroll laws, regulations, taxes, and compliance requirements
Simultaneous payroll processing experience of separate/multiple entities or FEIN’s is preferred
Proficiency in Microsoft Excel and other Microsoft Office applications
Exceptional attention to detail and organizational skills
Strong analytical, problem-solving, and communication abilities
Ability to handle sensitive information with discretion and professionalism
CPP (Certified Payroll Professional) designation is a plus
Must be able to pass pre-employment drug screen and background investigation
