Patient Onboarding & Conversion Specialist

Holistic Wellness & Psychiatry — Cedar Rapids, IA

About the Role

Holistic Wellness & Psychiatry is seeking a highly organized, proactive Patient Onboarding & Conversion Specialist to join our growing team. This role is critical to the success of the practice — you are often the very first human connection a prospective patient has with us, and you make sure no one who reaches out for help slips through the cracks.

This is not a passive front desk role. We are looking for someone who is responsive, driven, and genuinely good at moving people from "I'm interested" to "I'm scheduled." If you take pride in following up, building rapport quickly, and owning a process end to end, you'll thrive here.

What You'll Do

Respond promptly and warmly to all new patient inquiries by phone, portal, and website
Conduct discovery calls and guide prospective patients through their first steps with us
Follow up persistently (and kindly) with leads who haven't yet scheduled
Manage and nurture our lead pipeline in our CRM (GoHighLevel)
Get new patients scheduled efficiently and matched to the right provider
Track outreach attempts, outcomes, and conversion results
Ensure intake paperwork is completed before visits
Coordinate transfer-of-care patients between providers
Help fill open provider schedules and cancellation openings
Reduce no-shows through proactive reminders and follow-up
Support a smooth, welcoming onboarding experience for every new patient
Escalate complex or clinical questions appropriately rather than guessing

Who You Are

Proactive and responsive — you chase the follow-up, you don't wait for it
Highly organized and detail-oriented, with strong follow-through
A warm, confident communicator by phone and in writing
Comfortable with a CRM or pipeline system, and eager to improve how things run
Able to juggle competing priorities without letting anything fall through the cracks
Able to recognize urgent patient needs and prioritize appropriately within established workflows
Exercises good judgment about when to escalate concerns to clinical staff or leadership
Experience in admissions, sales, customer success, care coordination, onboarding, or a medical/mental health office is a strong plus

Just answering phones
Passive front-desk coverage
Waiting for instructions all day

This Role IS

Owning new patient intake, lead follow-up, and conversion
Helping hesitant people take the next step toward care
Making sure no opportunity — and no patient — is lost
Driving practice growth through strong, warm follow-through

Compensation & Growth

Hourly pay of $20-23/hour, depending on experience
Opportunity to grow with the practice as we continue to expand
