We are seeking an experienced Marketing Operations Manager who is passionate about driving measurable growth through data-driven marketing, operational excellence, team leadership, and digital advertising. This is a hands-on leadership role responsible for generating qualified patient leads, managing marketing vendors, overseeing digital campaigns, analyzing performance metrics, and leading a high-performing patient acquisition team.

Position Summary
The Marketing Operations Manager oversees all aspects of patient acquisition, digital marketing, appointment generation, marketing analytics, vendor relationships, budgeting, and team development. This position is responsible for leading a team of 5 health advisors and is responsible for ensuring every marketing dollar produces measurable results while maintaining exceptional patient experience from the first interaction through the scheduled appointment.
Primary Responsibilities
Marketing Operations
- Manage all patient acquisition and marketing operations across multiple clinic locations.
- Perform inbound and outbound patient communication as needed.
- Maintain expert knowledge of all patient scheduling procedures and company scripting.
- Become fully trained on all internal systems, protocols, and the company training manual.
- Utilize GoHighLevel (GHL), RingCentral, Marchex, texting platforms, CRM systems, and marketing software.
- Continuously improve scheduling workflows and operational efficiency.
- Maintain accountability for all marketing sources and lead generation channels.
Digital Marketing & Advertising
- Develop, manage, and optimize Meta (Facebook & Instagram) advertising campaigns across multiple service lines and clinic locations.
- Work closely with internal marketing staff and outside advertising agencies to build high-performing campaigns.
- Monitor campaign performance daily and optimize for maximum ROI.
- Analyze campaign metrics including:
- Cost Per Lead (CPL)
- Cost Per Appointment
- Cost Per Show
- Cost Per Acquisition
- Return on Ad Spend (ROAS)
- Conversion Rates
- Conduct A/B testing on audiences, ad creative, landing pages, offers, and messaging.
- Coordinate with creative teams to develop videos, graphics, landing pages, and promotional campaigns.
- Monitor website performance and landing page conversions.
- Ensure all digital marketing campaigns align with company branding and healthcare advertising standards.
- Stay current on Meta advertising trends, platform updates, and industry best practices.
Marketing Analytics & Reporting
Monitor and report daily, weekly, monthly, and year-to-date performance metrics including:
- Lead volume
- Appointment volume
- Show rates
- Conversion rates
- Cost Per Lead
- Cost Per Show
- Cost Per Acquisition
- Marketing ROI
- Vendor performance
- Marketing budget performance
Present detailed reports and recommendations to the Executive Director, CEO, and CFO.
Vendor Management
Manage all marketing vendors and strategic partners, including digital advertising agencies, media companies, direct mail vendors, and other lead-generation partners.
Responsibilities include:
- Conduct monthly vendor performance meetings.
- Evaluate vendor ROI and campaign effectiveness.
- Hold vendors accountable for agreed-upon KPIs.
- Recommend scaling, modifying, or replacing vendors based on measurable performance.
- Coordinate marketing campaigns, patient dinner events, and new clinic launches.
Marketing Budget Management
- Maintain company marketing budget.
- Monitor advertising spend across all channels.
- Review agency management fees.
- Track marketing expenses by service center.
- Analyze return on investment for every marketing source.
- Provide monthly financial reporting to executive leadership.
Quality Control
- Monitor appointment quality and scheduling accuracy.
- Audit call recordings for compliance and coaching opportunities.
- Review patient communications for consistency.
- Monitor Google Reviews and online reputation.
- Work with clinic leadership to improve patient satisfaction.
- Audit scheduling guidelines to maximize patient conversions.
- Evaluate call center performance and recommend improvements.
Leadership & Team Development
Lead, coach, and develop a high-performing marketing team through:
- Daily morning huddles
- Weekly KPI meetings
- Weekly script training
- One-on-one coaching sessions
- Performance evaluations
- Recognition programs
- Ongoing education and professional development
Maintain and continually improve the company's training manuals, onboarding systems, and online training programs.
Human Resources
- Recruit and interview top-performing candidates.
- Utilize Indeed and personality assessments during hiring.
- Train new employees on company policies, procedures, scripting, and systems.
- Prepare payroll bonus reports.
- Maintain employee accountability and performance standards.
Qualifications
Required
- Minimum 5 years of experience in marketing, sales, business development, or leadership.
- Experience managing digital advertising campaigns.
- Strong analytical and reporting skills.
- Excellent verbal and written communication skills.
- Experience managing KPIs and budgets.
- Strong organizational and time management skills.
- Microsoft Office proficiency.
- Ability to multitask in a fast-paced environment.
Preferred
- 10+ years of leadership experience.
- Healthcare marketing experience.
- Experience with Meta Ads Manager.

- Bachelor's degree in Business, Marketing, Communications, or a related field.

- 125 new patients per clinic each month
- 75% appointment show rate
- 30% Important Person (IP) show rate
- 75% of appointments scheduled within four days
- Cost Per Lead maintained within target
- Cost Per Show maintained within target
- 25–35% lead-to-office conversion rate
- 80% of marketing source KPIs achieved
- Weekly coaching sessions completed
- Weekly script training completed
- Marketing budget maintained within goals
Valuable Final Product (VFP)
Maintain an efficient, profitable marketing operation that consistently generates approximately qualified leads per month resulting in 125 new patients per clinic, with a a 40% IP show rate and 75% booked with in 4 days while maintaining low acquisition costs, maximizing marketing ROI, ensuring patients are scheduled promptly, and creating an exceptional first impression that supports long-term business growth.
Work Environment
This position supports multiple high-volume medical clinics. The role requires collaboration with executive leadership, providers, clinic managers, marketing vendors, and patient care teams.
Travel between clinic locations is required weekly, with occasional travel to conferences and educational seminars.

Monday – Thursday: 8:00 AM – 5:30 PM
Friday: 9:00 AM – 4:00 PM
Additional hours may be required based on business needs.
