About the Position

As a Referral Coordinator at MHEI, you are a critical link between our referral partners, our patients, and our providers. You play a direct role in filling our schedules with the right patients at the right time—while ensuring every person who enters our care feels informed, supported, and welcomed from the very first phone call.

This is a relationship-driven, detail-oriented role where your communication skills, insurance knowledge, and ability to advocate for patients truly make a difference. You’ll work closely with a collaborative team and serve as a trusted resource for both our referral partners and the patients they send our way.

Flexible, Hybrid Work Model:

We know that flexibility matters. Here’s how this role is structured:

✔ Training period (4–8 weeks): Onsite at our Sheridan location. The length of training depends on your background and progress—we invest the time needed to set you up for success.

✔ After training: Primarily remote, with one day per week in the office at our Sheridan location.

✔ Long-term potential: High performers may have the opportunity to transition to a fully remote schedule over time.

Referral Coordinator → Lead Referral Coordinator → Referral Team Manager → Practice Operations

What You’ll Do:

In this role, you will be the bridge between our referral partners and the exceptional care we provide—ensuring every referred patient is scheduled, supported, and prepared for their visit.

Scrub incoming referral documents to verify reason for visit, demographics, and insurance information
Reach out to patients to schedule appointments based on their referral and visual needs
Educate patients on what to expect leading up to and during their visit, serving as a trusted resource throughout the process
Verify insurance information, follow up on unscheduled referrals, and complete patient communication tasks
Maintain and update the referral portal to reflect accurate, up-to-date patient journey information
Follow up with referral partners when additional information is needed or patients have been unreachable
Answer incoming new patient calls to schedule appointments and provide general practice information
Share feedback with leadership on appointment availability, referral partner concerns, and process improvement opportunities
Become an expert on MHEI protocols to confidently support patients and partners before every visit
Follow all HIPAA, security, and organizational policies and procedures

Role Breakdown: ~85% referral coordination & patient communication | ~15% administrative support

Qualifications:

Previous healthcare experience required
Previous referral coordinating experience highly preferred
Ophthalmology or Optometry experience highly preferred
Strong understanding of medical insurance and prior authorization processes preferred
Excellent Customer Service Skills and Phone Etiquette
Previous Front Office Experience or Referral Coordination Experience
Bilingual (Spanish) strongly preferred

Location:

Training (4–8 weeks) will be conducted onsite at our Sheridan location. After training, this is primarily a remote position with one day per week in the office at our Sheridan location.

Hours:

This is a full-time position, Monday–Friday. Candidates must be available 5 days per week, 8 hours per day (40 hours per week).

Compensation:

$21/hr – $26/hr+ DOE (based on referral coordinating and Ophthalmology/Optometry experience)

The lower end reflects candidates joining from another medical field without eye care experience or limited referral coordinating experience
The higher end reflects candidates with significant referral coordinating or ophthalmology experience
