Full Job Description

Job Summary
Auspicious Community Service is seeking a dependable and organized Client Services Coordinator / Office Clerk to serve as a primary point of contact for our clients, families, and staff.

This position will assist with basic office duties, client intake, scheduling, paperwork, and following up with clients or parents/LARs who have been difficult to reach.

We are looking for someone who is friendly, professional, comfortable talking on the phone, organized, and able to follow up consistently.

Responsibilities

Answer and return office phone calls.
Serve as a primary point of contact for clients and families.
Contact clients or parents/LARs who have not responded to staff.
Follow up with clients who have missed appointments or need to reconnect with services.
Assist new clients and families with the intake process.
Collect and organize intake forms and required documents.
Schedule and confirm appointments.
Update client contact and demographic information.
Track new referrals and intake status.
Assist with missing paperwork and administrative follow-up.
Scan, upload, file, and organize client documents.
Monitor office email, voicemail, and fax communications.
Enter and update information in agency systems and spreadsheets.
Notify appropriate staff when a client cannot be reached or needs additional assistance.
Maintain client confidentiality and follow HIPAA requirements.
Perform other basic office and administrative duties as assigned.

Qualifications

High school diploma or GED.
Basic computer skills.
Strong phone and communication skills.
Good organizational and follow-up skills.
Ability to maintain confidential information.
Dependable and punctual.
Comfortable making outbound calls to clients and families.
Customer service, receptionist, medical office, behavioral health, or administrative experience is preferred but not required.
Bilingual English/Spanish is a plus.
