Full Job Description

Job Summary
We are seeking a proactive and detail-oriented Administrative Assistant/Bookkeeper to join our dynamic team in the commercial flooring industry. In this vital role, you will provide comprehensive administrative support, ensuring smooth daily operations across departments. Your expertise in accounting software and financial concepts will be instrumental in maintaining accurate records, managing financial transactions, and supporting organizational efficiency. This position offers an exciting opportunity to contribute to a vibrant organization committed to excellence and growth.

Duties

Manage and process accounts payable and accounts receivable using accounting software such as QuickBooks, Xero, Sage, or similar platforms
Perform bank reconciliations, balance sheet reconciliations, and general ledger accounting to ensure financial accuracy
Prepare journal entries, conduct account analysis, and assist with general ledger reconciliation activities
Support budgeting processes by tracking expenses and assisting with financial report writing
Handle payroll processing and maintain accurate employee records in compliance with relevant regulations
Assist with governmental accounting tasks and ensure adherence to GAAP (Generally Accepted Accounting Principles) standards
Conduct double entry bookkeeping, manage debits & credits, and perform account reconciliation tasks with precision

Requirements

Previous experience in construction accounting
Proven experience with accounting software such as QuickBooks or similar financial tools
Strong understanding of corporate accounting principles
Knowledge of financial concepts like balance sheet reconciliation, journal entries, and general ledger accounting
Familiarity with accounts payable/receivable processes and payroll management
Ability to perform bank reconciliations, account analysis, and account reconciliation efficiently
Excellent organizational skills with proficiency in 10-key typing for data entry accuracy
Experience in tax preparation or tax-related accounting is a plus but not mandatory
Strong attention to detail combined with the ability to handle multiple tasks simultaneously
Effective communication skills for preparing financial reports and collaborating across teams
