Full Job Description

Job Overview

We are seeking a highly organized, professional, and proactive Executive Administrative Assistant to provide comprehensive administrative support to the President & CEO. The ideal candidate will be a trusted partner who can manage multiple priorities, maintain confidentiality, and facilitate efficient daily operations in a growing, non-profit organization.

Responsibilities

Manage complex calendars, schedule appointments, and coordinate meetings with precision using calendar management tools.
Handle multi-line phone systems with professionalism, providing excellent customer service and client communication.
Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace productivity software.
Organize and maintain filing systems, both digital and physical, ensuring quick access to important documents.
Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
Prepare reports, presentations, meeting agendas, and other executive-level documents.
Coordinate board meetings, committee meetings, and executive staff meetings.
Take meeting minutes and follow up on assigned action items.
Assist with project management and special initiatives as directed.
Maintain confidential records and sensitive information with discretion.
Coordinate events, conferences, and organizational functions.
Serve as a liaison between the executive office, staff, board members, stakeholders, and external partners.
Support front desk operations by greeting visitors, managing phone etiquette, and directing inquiries efficiently.
Coordinate travel arrangements, including booking flights, accommodations, and preparing itineraries for executives.
Perform clerical duties such as typing, proofreading, and managing spreadsheets to support office management activities.
Maintain confidentiality of sensitive information while delivering exceptional customer support to clients and internal teams.
Track deadlines and ensure timely completion of key deliverables.
Support executive decision-making by gathering and organizing information and data.

Qualifications

Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred.
Minimum of 3–5 years of experience supporting senior executives.
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
Ability to maintain strict confidentiality and exercise sound judgment.
Demonstrated ability to work independently and manage competing priorities.
Proven experience in office management or administrative roles with a strong background in executive support.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Experience handling multi-line phone systems and providing outstanding customer service.
Exceptional attention to detail for proofreading documents and managing schedules accurately.
Strong time management skills with the ability to prioritize tasks efficiently.

Preferred

Experience supporting C-suite executives, nonprofit executives, or corporate leadership.
Familiarity with board governance and board meeting coordination.
Project management experience.
