Pay: $23.00 per hour
Job Type: Part-Time
Schedule: Flexible
Primary Location: Bayville, NY
Additional Location: East Northport, NY

Job Summary:

We are seeking a dependable, organized, and professional Part-Time Administrative Assistant to support the daily administrative operations of our Assisted Living Residence.

This position will be primarily stationed at our Bayville, NY location; however, work time may be split between our Bayville and East Northport locations based on operational needs.

The part-time schedule is flexible and can be discussed based on facility needs and the selected candidate's availability.

Responsibilities

Provide general administrative and clerical support to facility management.
Answer and direct telephone calls, emails, and general inquiries.
Assist with filing, scanning, copying, data entry, and document preparation.
Maintain organized employee, resident, administrative, and facility records.
Assist with employee onboarding paperwork and maintenance of personnel files.
Track required employee documentation, certifications, physicals, and compliance-related records.
Assist with scheduling and staff communications.
Prepare spreadsheets, forms, letters, notices, reports, and other administrative documents.
Assist with maintaining facility logs and required documentation.
Communicate professionally with residents, families, staff, vendors, and outside providers.
Assist management with special projects and day-to-day operational needs.
Maintain confidentiality of resident, employee, and facility information.
Perform additional administrative duties as assigned.

Qualifications

Previous administrative or office experience preferred.
Experience in assisted living, healthcare, senior living, or a medical office setting is a plus.
Strong organizational and time-management skills.
Strong written and verbal communication skills.
Proficient with Microsoft Word, Excel, email, and general computer applications.
Ability to prioritize responsibilities and work independently.
Dependable, punctual, professional, and able to take initiative.
Ability to maintain confidentiality when handling sensitive information.
Must have reliable transportation and be able to work at both the Bayville and East Northport locations as needed.

Candidates must be comfortable commuting to both locations.

Pay: $22.00 per hour
