What You'll Do
Your work helps create a welcoming, organized, and supportive experience for every person who contacts or visits ARC. As the first point of contact for many clients, you'll help people feel informed, connected, and cared for while keeping daily front office operations running smoothly.
On a typical week, you will:

Welcome clients, visitors, and community partners with professionalism, warmth, and compassion

Answer and route incoming phone calls while providing information about ARC's programs and services

Create, update, and maintain accurate client records within the Electronic Health Record (EHR) system

Collect and verify demographic, insurance, and registration information while maintaining confidentiality
-
Schedule appointments, coordinate calendars, and support daily administrative operations
-
Assist with forms, correspondence, medical records requests, and other front office documentation
-
Collaborate with clinical and administrative teams to ensure a seamless client experience
-
Maintain an organized, clean, and welcoming reception area and shared office spaces
-
Support office operations through filing, scanning, data entry, supply management, and other administrative duties

Protect client privacy by following HIPAA and 42 CFR Part 2 confidentiality requirements

Identify opportunities to improve efficiency, organization, and the overall client experience

Required Qualifications

High school diploma or equivalent

Previous experience in a receptionist, administrative support, or customer service role preferred

Strong interpersonal and communication skills with the ability to connect with people from diverse backgrounds

Excellent organizational skills and attention to detail

Ability to manage multiple priorities in a fast-paced environment

Ability to maintain professionalism, confidentiality, and discretion

Basic computer proficiency, including Microsoft Office and the ability to quickly learn new software systems
Preferred Qualifications

Additional education or training in office administration

Experience working in healthcare, behavioral health, or a nonprofit setting

Knowledge of substance use disorders, recovery, or community resources

Experience using Electronic Health Record (EHR) systems

Bilingual in English and Spanish

Compensation

$22.50–$25.88 per hour for a 32-hour workweek
