Full Job Description

Job Title: School Secretary

Building/Department: Andrews Elementary

Reports to: Building Principal or Designee

Summary:

The School Secretary serves as the primary administrative support staff for the school office, ensuring efficient day-to-day operations. This role involves providing direct support to the building principal, maintaining accurate student and staff records, managing communication with families, and supporting the smooth functioning of building-level procedures. The School Secretary acts as a key point of contact for students, staff, families, and the community.

Education and Experience:

High school diploma or GED required
Previous experience in a school or office setting preferred
An associate’s degree or higher preferred
High degree of proficiency in standard office procedures, typing, and office machines
Working knowledge of basic office procedures and the operation of common office equipment
Demonstrated knowledge and practical experience with computer applications, including Google Suite
Familiarity with PowerSchool is or similar Student Information Systems is preferred
Ability to work independently and make decisions in accordance with established policies and regulations
Ability to maintain effective public relations with parents, staff, students, and the community

Principal Duties and Responsibilities:

Serve as the first point of contact for students, parents, staff, and visitors
Manage telephone calls, emails, and other correspondence
Maintain student attendance and enrollment records
Prepare and distribute internal and external communications
Schedule appointments and maintain school calendars
Assist with building-wide communication and announcements
Monitor visitor entry and ensure safety protocols are followed
Support staff with clerical needs, including copying, filing, and document preparation
Maintain building-level documentation, records, and supply inventories
Assist with the coordination of events such as conferences, testing, and field trips
Perform data entry and generate reports as required
Administer basic first aid and coordinate health-related needs
Handle confidential information with discretion
Other duties as assigned by the principal or designee
Perform all other duties as assigned
Maintain a consistent and reliable on-site work schedule.

Qualification Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Language Skills: Ability to read and interpret documents such as memos, instructions, and handbooks. Ability to write routine correspondence and speak effectively with students, staff, and families
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure. Basic accounting or budget tracking skills preferred.
Reasoning Ability: Ability to apply common sense understanding to carry out written and oral instructions. Ability to problem-solve in a fast-paced environment
Other Skills and Abilities: Strong organizational and time-management skills. Professionalism in communication and appearance. Ability to multitask, prioritize, and manage interruptions. Demonstrated ability to maintain confidentiality. Positive attitude and customer-service oriented

Physical Demand: While performing the duties of this job, the employee is continuously required to sit, walk, stand, and reach with hands and arms; occasionally lift and carry up to 30 pounds. Specific vision abilities required by this job include close vision, very good depth perception, and the ability to communicate through speech. The position requires a moderate amount of physical activity.

Work Environment: School office setting with frequent interaction with students, families, and staff. May be exposed to loud noise, frequent interruptions, and occasional stressful situations

Union Representation: Union Representation: This position is Unionized. Salary, terms and other conditions of employment established by the TRESPA Collective Bargaining Agreement.

FLSA Status: This is a Non-Exempt FLSA position. Non-Exempt employees are eligible for overtime pay under the Fair Labor Standards Act.

Compensation and Benefits: Competitive salary and benefits package.
Schedule: 205 days per year, generally following the TRCS Academic Calendar. Includes non-working days during winter, spring, and summer breaks, as well as designated holidays.
