Full Job Description

Administrative Assistant to Plant Manager ( Part Time )

This role provides comprehensive administrative and operational support to the Plant Manager, ensuring the efficient functioning of the manufacturing facility by managing office tasks, coordinating staff, and assisting with production-related activities to meet quality and output targets.

Responsibilities

Administrative & Office Management:

Manage Plant Manager's calendar, schedule meetings, and arrange appointments/travel.
Handle incoming/outgoing calls, emails, mail, and general correspondence.
Prepare reports, memos, presentations, invoices, and other documents.
Maintain organized filing systems (physical and digital) for all plant records.
Manage office supplies, equipment, PO tracking and vendor relations.

Operational Support:

Assist with daily production tracking, data entry, and performance reporting (KPIs).
Coordinate with department heads (production, maintenance, HR) for smooth operations.
Help manage plant inventory, spare parts, and material needs.
Support HR such as timekeeping, and scheduling staff.
Ensure compliance with safety policies and company regulations by assisting with documentation and checks.
Facilitate maintenance requests and coordinate equipment upkeep.

Key Responsibilities:

· Coordinate and monitor supply chain operations to ensure timely and accurate deliveries.

· Communicate with suppliers, carriers, and internal teams regarding shipment scheduling, delays, and order status.

· Track and report key performance indicators (KPIs) such as on-time delivery, freight cost, and inventory accuracy.

· Ensure compliance with company policies, safety regulations, and transportation laws.

Qualifications:

· High school diploma or equivalent (Bachelor’s degree in Supply Chain, Business, or related field preferred).

· 5 years Administrative assistant experience.

· Proficiency in Microsoft Office Suite.

· Strong organizational and multitasking skills.

· Excellent communication and problem-solving abilities.

· Detail-oriented with the ability to work under pressure and meet deadlines.

· Understanding of manufacturing processes and confidentiality

Job Type: Full-time

Pay Rate : $20.00 and up dependent on candidate qualifications
