Position Overview
We are seeking an experienced, highly organized Senior Accountant / Full-Charge Bookkeeper to independently manage the company’s day-to-day accounting operations.
This is an important, hands-on position for someone who is comfortable functioning as the primary accounting professional for a growing live-events company. The right person will be willing and able to handle the entire accounting process—from entering invoices and writing checks to reconciling accounts, processing payroll, filing sales-tax returns, preparing financial reports, and coordinating with our outside CPA firm.
This is not a narrowly defined accounting position. We need someone who takes ownership of the accounting function, notices when something does not look right, follows through on open items, and keeps the company’s financial records complete, accurate, and current.
Hours will generally range from 15 to 30 hours per week and may vary depending on the event schedule, filing deadlines, and time of year.
Responsibilities
- Manage the company’s day-to-day bookkeeping and accounting activities.
- Enter, review, code, and pay vendor invoices.
- Prepare and issue checks, ACH payments, and other disbursements.
- Maintain accounts payable and follow up on outstanding vendor questions.
- Prepare customer invoices and monitor accounts receivable.
- Record deposits, ticketing settlements, event revenue, refunds, and other receipts.
- Reconcile bank accounts, credit cards, loans, ticketing accounts, and balance-sheet accounts.
- Review transactions for proper classification and supporting documentation.
- Process or coordinate payroll and maintain accurate payroll records.
- Prepare and file sales-tax and other required state and local tax returns.
- Track activity across multiple states and event markets.
- Maintain vendor records, W-9 forms, and year-end 1099 information.
- Assist with cash-flow tracking and short-term financial planning.
- Prepare monthly profit-and-loss statements, balance sheets, cash-flow reports, and other internal financial reports.
- Review event-level income and expenses and help reconcile individual event settlements.
- Identify unusual transactions, discrepancies, duplicate payments, missing documentation, or accounting errors.
- Maintain organized electronic and paper accounting records.
- Assist management with budgets, forecasts, financial questions, and special projects.
- Coordinate with the company’s outside CPA firm on year-end tax returns, reviewed financial statements, and other accounting matters.
- Prepare schedules, reconciliations, and supporting documents requested by the CPA.
- Help improve accounting procedures, controls, reporting, and workflow.
- Protect confidential company, employee, vendor, and financial information.
- Perform occasional administrative or financial errands when needed.
Qualifications
- At least three years of professional accounting or full-charge bookkeeping experience.
- Experience independently managing the accounting needs of a small or midsized company.
- Strong knowledge of bookkeeping and generally accepted accounting procedures.
- Experience with QuickBooks Online, QuickBooks Desktop, or both.
- Strong Microsoft Excel and spreadsheet skills.
- Experience with accounts payable, accounts receivable, payroll, bank reconciliations, and financial reporting.
- Experience preparing and filing sales-tax returns strongly preferred.
- Ability to manage multiple deadlines and changing priorities.
- Strong analytical and problem-solving skills.
- Excellent accuracy and attention to detail.
- Ability to identify discrepancies and follow issues through to resolution.
- Strong organizational, written, and verbal communication skills.
- Ability to work independently with limited supervision.
- High level of integrity, discretion, and professionalism.
- Bachelor’s degree in accounting, finance, economics, or a related field preferred; equivalent accounting experience will also be considered.
- Valid driver’s license and clean driving record preferred.
Ideal Candidate
The ideal candidate is experienced, dependable, and comfortable being the person responsible for keeping the company’s accounting function organized and running smoothly. You should be equally willing to handle routine tasks such as entering invoices and writing checks as you are to prepare financial statements, file sales-tax returns, reconcile complex accounts, and communicate with our CPA.
This position is best suited for someone who enjoys variety, takes pride in accurate work, and does not need a large accounting department around them to get the job done.
