Full Job Description

Overall Purpose

The Academic Operations Administrator provides cross-functional administrative support for Bethany and Bethany Global University. This role serves as a central administrative resource, supporting leadership and key departments through scheduling, communication, academic administration, and general office coordination. The position functions as a high-level administrative assistant, requiring a high degree of professionalism, organizational strength, discretion, and the ability to work collaboratively across teams.

Roles

Academic Support with BGU (30 hrs/wk)

Purpose: The Academic Operations Administrator supports the academic mission of Bethany Global University by providing organized, timely, and detail-oriented administrative assistance to students, faculty, and academic leadership. This role helps ensure smooth academic operations through effective communication, student support, admissions coordination, registration services, and academic process management, enabling an environment where students can grow spiritually, academically, and in their calling to global missions.

Responsibilities:

Assist with Registrar and Admissions processes
Assist with Recruiting efforts
Collaborate with the Office of Institutional Effectiveness (OIE) team regarding student and academic matters
Maintain academic timelines, forms, communication drafts, and student inquiries
Support admissions, recruitment, and enrollment efforts through applicant communication and administrative follow-up.
Assist with registrar functions, including student records management, transcript requests, enrollment verification, and academic documentation.
Support course registration processes and assist students with enrollment-related questions.
Provide academic advising support and general student services assistance.
Serve as a resource for students regarding academic policies, procedures, deadlines, and institutional requirements.
Maintain student information and records within academic platforms, including Populi, Canvas, and other institutional systems.
Coordinate communication with faculty regarding course schedules, student issues, academic deadlines, and administrative requirements.
Assist in managing semester-based academic workflows, ensuring key registration, grading, advising, and reporting deadlines are met.
Support financial aid and scholarship follow-up by communicating with students regarding requirements, documentation, and next steps.
Collaborate with Admissions, Academic Affairs, the Registrar, Student Services, Financial Aid, and the Office of Institutional Effectiveness on student and academic matters.
Maintain academic forms, reports, communication templates, and student-facing resources.
Respond to student inquiries and provide general academic support in a professional and timely manner.

General Administrative Support (10 hrs/wk)

Purpose: The purpose of this role is to provide consistent administrative assistance and operational support to the Communications and Operations departments. This position contributes to the effective coordination of projects, workflows, and daily tasks by supporting communication efforts, maintaining organized systems, and assisting with operational processes that enable both departments to function efficiently and collaboratively.

Responsibilities:

Provide shared administrative assistance for communications and operations as needed
Create documents, organize files, prepare internal communication, and maintain office operations
Support meeting coordination, scheduling, and workflow organization

Qualifications

Education, Training, Experience Requirements

Bachelor's degree preferred.
2+ years of experience in higher education administration preferred.
Experience working within a college, university, registrar's office, admissions office, student services department, or academic affairs environment preferred.
Experience supporting one or more of the following areas:
Admissions and recruitment
Registrar services
Academic advising
Course registration and enrollment management
Student records administration
Financial aid administration
Scholarship coordination
Faculty support and academic operations
Experience using student information systems and learning management systems, including Populi, Canvas, or similar platforms preferred.
Familiarity with semester schedules, academic calendars, registration cycles, graduation requirements, and higher education policies.
Strong understanding of internal academic processes and the ability to manage multiple deadlines throughout the academic year.
Excellent written and verbal communication skills with students, faculty, and staff.
Proficient in Microsoft 365 applications.
Strong organizational, project management, and problem-solving abilities.

Full-time (40 hours), hybrid work model with final schedule details forthcoming and on-site leaning schedule

Suggested Schedule

In-person office hours are Monday–Thursday, 8:00am–4:30pm
Remote Fridays 8:00am–4:30pm

Due to the nature of our work and the need to coordinate our working hours with other activities and events, adjustments in work schedules may be necessary

Pay: $20.00 - $25.00 per hour
