Overview
Position Summary
The Billing Specialist II will be responsible for but not limited to performing intermediate-level billing and accounts receivable functions to ensure accurate, timely, and complete invoicing for Sequoias Tree Expert LLC. This position works closely with Operations, General Foremen, Project Managers, Sales, and Accounting to verify job information, resolve billing discrepancies, process invoices, and maintain accurate customer accounts.

The Billing Specialist II is expected to work independently, manage multiple priorities, identify and resolve billing issues, and assist with improving billing processes and collections. This position requires strong attention to detail, organization, customer service skills, and the ability to work with financial and operational information.

Essential Functions and Responsibilities

· Prepare, review, and process customer invoices accurately and within established billing deadlines.

· Review work orders, contracts, purchase orders, service agreements, timesheets, job costing, and supporting documentation before invoicing.

· Verify labor, materials, equipment, services, change orders, and other billable items are accurately reflected on invoices.

· Ensure invoices are billed according to customer-specific requirements and contractual terms.

· Process recurring, progress, service, project, and other applicable invoices.

· Monitor billing schedules and follow up on missing documentation that may delay invoicing.

· Identify billing discrepancies and work with Operations and management to resolve them.

· Process invoice adjustments, credits, rebills, and corrections with appropriate authorization.

· Ensure invoices are properly coded and posted in the Company's accounting/ERP system.

· Assist with month-end and year-end billing activities.

· Reconcile billing records against operational and accounting records.

· Research discrepancies between invoices, contracts, work orders, and customer payments.

· Maintain organized and accurate billing documentation.

· Verify customer account information and billing contacts.

· Assist with audits by providing requested billing records and supporting documentation.

· Ensure required approvals and documentation are obtained before invoices are finalized.

· Serve as a resource to Billing Specialist I employees when questions or more complex billing issues arise.

· Maintain confidentiality of customer, employee, financial, and Company information.

· Follow all Company policies and procedures.

· Maintain accurate records in Paycom, accounting, billing, or other Company systems as applicable.

· Assist with special projects and financial reporting as assigned.

Qualifications and Skills

· High school diploma or equivalent.

· 2–5 years of billing, accounts receivable, accounting, or related experience.

· Strong attention to detail and accuracy.

· Ability to manage multiple deadlines and priorities.

· Strong organizational and time-management skills.

· Ability to identify discrepancies and research problems through to resolution.

· Strong written and verbal communication skills.

· Proficiency with Microsoft Office, particularly Excel.

· Ability to maintain confidentiality and handle sensitive financial information.

· Ability to work independently while also collaborating effectively with other departments.

· Associate degree in Accounting, Finance, Business, or a related field preferred.

· Experience with construction, tree care, landscaping, field services, transportation, or another service-based industry preferred.

· Experience with job costing, contract billing, progress billing, or service billing preferred.

· Experience with an ERP, accounting, or billing system preferred.

· Experience with Paycom or similar business systems preferred.

· Bilingual English/Spanish communication skills are a plus.
