Overview

We are seeking a dynamic and detail-oriented Part-time Accounts Payable Clerk & Administrative Assistant to join our finance team. This role offers an exciting opportunity to contribute to financial operations while providing essential administrative support in a fast-paced environment. The ideal candidate will be proactive, highly organized, and possess a strong understanding of accounting principles and financial software systems. Your efforts will help ensure accurate processing of invoices, maintain financial compliance, and support smooth administrative workflows.

Duties

Process and verify accounts payable transactions using various financial software such as Workday, Paychex, QuickBooks, and Sage, ensuring timely and accurate invoice processing.
Perform data entry with precision, utilizing Excel formulas and VLOOKUP functions for efficient data analysis and reconciliation.
Manage accounts payable automation tools to streamline invoice approval workflows and payment cycles.
Reconcile accounts payable ledger with general ledger entries, ensuring consistency with GAAP (Generally Accepted Accounting Principles).
Assist in preparing journal entries, account reconciliations, and supporting documentation for audits or internal reviews.
Handle confidential information with integrity, adhering to SOX (Sarbanes-Oxley Act) compliance standards.
Provide administrative support including scheduling meetings, managing correspondence, maintaining filing systems, and assisting with HRIS (Human Resource Information System) updates such as ADP or UltiPro.

Qualifications

Proven experience in accounting and finance roles, especially with accounts payable processing and data entry.
Familiarity with financial software such as Workday, Paychex, QuickBooks, Sage, PeopleSoft or similar systems; experience with Kronos or Ceridian is a plus.
Strong understanding of accounting concepts including double entry bookkeeping, debits & credits, journal entries, and general ledger reconciliation.
Proficiency in Microsoft Office Suite—particularly Excel for data analysis using formulas and functions like VLOOKUP—and spreadsheet management.
Knowledge of accounting standards such as GAAP and experience working within public accounting environments is preferred.
Excellent analysis skills for account reconciliation and identifying discrepancies; ability to perform Excel data analysis efficiently.
Strong organizational skills with the ability to handle multiple tasks simultaneously while maintaining attention to detail.
Ability to handle confidential information responsibly and adhere to financial compliance standards such as SOX regulations.
