Who Are We Looking For: Operations Manager

We are seeking an experienced, highly organized, and dependable Behavioral Health Operations Manager to manage and perform the day-to-day administrative operations of our growing outpatient mental health practice. This is a hands-on role involving client services, scheduling, provider coordination, billing workflows, insurance-related matters, and administrative process improvement.

The ideal candidate is responsible, detail-oriented, and able to manage multiple priorities accurately and efficiently. Behavioral health or healthcare experience is essential.

Key Responsibilities:

Respond promptly and professionally to client inquiries via phone, email, and text.
Coordinate incoming referrals and follow up with prospective clients
Match clients with appropriate providers based on clinical needs, insurance coverage, specialty, and availability
Collect and maintain accurate demographic and insurance information
Verify insurance eligibility and benefits before services begin
Manage appointment changes, cancellations, waitlists, and provider availability.
Support clients with intake paperwork and onboarding.
Support providers with administrative and operational needs.
Process insurance and self-pay billing through SimplePractice.
Submit claims and monitor claim status.
Follow up on denied or unpaid claims.
Review aging reports and follow up on outstanding claims and client balances
Obtain and track prior authorizations when required
Reconcile billing discrepancies and assist with accounts receivable.
Ensure compliance with HIPAA and practice policies.
Maintain confidentiality of client information.
Assist with credentialing and provider onboarding as needed.
Develop and improve administrative workflows and office procedures.
Generate operational and billing reports for leadership.

Qualifications:

Minimum 3 years of experience in a similar behavioral health administrative role
Experience working in a mental health outpatient practice is preferred.
Experience with medical billing, insurance verification, and claims processing is required.
Working knowledge of provider credentialing and insurance contracting processes
Demonstrated ability to work independently, exercise sound judgment, and complete responsibilities with minimal supervision
Proactive in identifying problems, finding solutions, and following tasks through to completion
Excellent organizational skills, multitasking, and attention to detail.
Ability to communicate effectively both verbally and in writing with clients and team members.
Ability to handle sensitive and confidential information with professionalism.

· Proficiency in SimplePractice is strongly preferred.

Proficiency in scheduling systems and basic office software.
