Description:

Department: Accounting
Reports To: Accounts Payable Manager
FLSA Status: Non-Exempt

Position Summary

The Accounts Payable Office Assistant provides administrative and clerical support to the Accounting Department, with a primary focus on assisting with accounts payable activities and maintaining accurate records. This position is responsible for handling communications, organizing and maintaining files, entering invoices and data, and supporting the Accounts Payable Manager and accounting staff with daily administrative tasks.

The ideal candidate is organized, dependable, detail-oriented, and able to manage multiple priorities in a fast-paced office environment while maintaining accuracy and confidentiality.

Key Responsibilities

Administrative & Office Support

Answer and direct incoming phone calls, emails, and general inquiries professionally and promptly.
Provide administrative support to the Accounts Payable Manager and Accounting Department.
Maintain organized and up-to-date physical and electronic filing systems.
Assist with data entry, recordkeeping, document preparation, and document management.
Enter invoices and related information accurately into accounting or business systems.
Review documents and records for completeness and accuracy.
Assist with routine clerical tasks, including scanning, copying, filing, and maintaining office records.
Retrieve and organize documents as needed for accounting and administrative purposes.
Support the department with other duties and special projects as assigned.

Requirements:

Qualifications

Education & Experience

High school diploma or equivalent required.
Previous office, administrative, accounting, or accounts payable experience preferred, but not required.
Experience with data entry or working with invoices and financial records is a plus.

Skills & Competencies

Strong verbal and written communication skills.
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Ability to prioritize tasks and manage multiple responsibilities effectively.
Ability to work independently while also contributing effectively as part of a team.
Professional, dependable, and positive attitude.
Ability to maintain confidentiality when handling company and financial information.
Comfortable learning new accounting, office, and computer systems.

Physical Requirements

Ability to sit or stand for extended periods while performing office duties.
Ability to use a computer, telephone, copier, scanner, and other standard office equipment.
Ability to lift and carry up to 20 pounds, including office supplies, files, and documents.

Work Environment

Standard professional office environment with regular business hours.
May occasionally be required to work overtime during peak periods or as business needs dictate.
Work involves frequent computer use, communication with staff and vendors, and handling administrative and financial records.
