Full Job Description

Charleston non-profit organization seeking qualified Staff Accountant to join their team! The Staff Accountant is a detail-oriented accounting professional responsible for supporting the financial operations of a mission-driven non-profit organization. This role manages payroll, accounts payable, accounts receivable, and donor gift processing while ensuring accurate financial records, timely reporting, and compliance with organizational policies and funding requirements. The Staff Accountant works closely with the Finance team and the Development/Philanthropy team to support both financial management and donor stewardship.

Essential Duties & Responsibilities

Payroll

Maintain employee payroll records, including new hire setup, employee changes, and terminations.
Ensure payroll information is accurate and up to date within the payroll system.
Maintain employee salary and labor allocations for grants and funding sources.
Process bi-weekly payroll accurately and on schedule.
Respond to employee payroll questions, including PTO balances, leave tracking, and payroll deductions.
Assist with payroll reporting and year-end payroll activities.

Accounts Payable

Review purchase orders, invoices, and supporting documentation for completeness and required approvals.
Verify proper general ledger coding and allocation of expenses to grants, departments, and funding sources.
Research and resolve invoice discrepancies.
Maintain organized electronic records of invoices and supporting documentation.
Review and reconcile organizational credit card transactions.
Prepare accounts payable checks or process ACH and electronic payments.
Prepare annual Form 1099 reporting for eligible vendors.
Assist with month-end accounts payable reconciliations.

Accounts Receivable

Prepare and submit invoices to government agencies, grantors, insurance providers, and other funding sources for reimbursable services.
Bill contract services, training programs, consulting, and other fee-based activities.
Monitor outstanding receivables and follow up on past-due accounts.
Review deposits to ensure proper coding and posting to the general ledger.
Prepare monthly accounts receivable aging and billing reports.
Assist with annual review of outstanding balances and recommended write-offs.
Maintain accurate billing records and supporting documentation.

Donor Records & Database Administration

Record charitable contributions received through checks, credit cards, ACH, online giving platforms, and other payment methods.
Maintain accurate donor records within the organization's donor management system (such as Raiser's Edge or similar CRM).
Process donor acknowledgements and gift receipts in coordination with the Development team.
Ensure the integrity and accuracy of donor and prospect information.
Generate donor reports, mailing lists, and database queries to support fundraising activities.
Assist with donor reconciliations between the donor database and accounting system.
Maintain confidentiality of donor information.

General Accounting

Assist with monthly account reconciliations and financial close activities.
Prepare journal entries as assigned.
Maintain supporting documentation for audits and grant reporting.
Assist with preparation of financial reports for management and grant compliance.
Ensure compliance with Generally Accepted Accounting Principles (GAAP), organizational policies, and applicable federal, state, and grant regulations.
Support annual financial audits and other compliance reviews.
Perform other accounting and administrative duties as assigned.

Qualifications

Education

Bachelor's degree in Accounting, Finance, or related field preferred.
Associate degree with relevant accounting experience may be considered.

Experience

2–5 years of accounting experience required.
Non-profit accounting experience preferred.
Experience with payroll processing and accounts payable required.
Experience with grant accounting, fund accounting, or donor database software is a plus.

Technical Skills

Proficiency with Microsoft Excel and Microsoft Office Suite.
Experience with accounting software (QuickBooks, Sage Intacct, Blackbaud Financial Edge, or similar).
Experience with donor management software such as Raiser's Edge preferred.
Knowledge of payroll systems and electronic payment platforms.

Knowledge, Skills & Abilities

Strong understanding of accounting principles and financial controls.

Ability to manage multiple priorities while meeting deadlines.
Strong analytical and problem-solving skills.
Excellent verbal and written communication skills.
Ability to maintain confidentiality with financial, payroll, and donor information.
Ability to work collaboratively with finance, development, and program staff.
